Legal Secretary Duties: Supporting Partners and Attorneys in the Insurance, Litigation, Employment Law and Public Finance practice groups. Will be responsible for coordinating and prioritizing the administrative and document processing workloads of the principals assigned to the position; provide accurate and timely work product in accordance with the needs of their assigned attorneys; answer incoming telephone calls in a timely and professional manner and communicates an accurate message on behalf of the caller. Prepare and edit documents. Assist with transactional deal closings and litigation work. Proofread documents. Create transcripts/binders. Prepare BOX working group lists, indices and upload documents into the deal room. Knowledge of PDF technology. Portal searches (Enterprise Search). Data Entry. Retrieve Electronic Transcripts. Send and retrieve e-mail messages and/or e-mail attachments using MS Outlook. Prepare travel expense reports, entertainment expense reports, check requests and other accounting forms. Meeting planning, including: scheduling, reserving conference rooms, arranging video and teleconferencing support, ordering food and beverages and providing reference materials to attendees. Follows firm established policies and procedures. Other miscellaneous related duties as assigned.
Qualification and Experience
Qualifications: H.S. Diploma; some college preferred. 1-3 years’ experience in a law firm environment. Knowledge of litigation terminology. Excellent computer skills including, MS PowerPoint, Excel, Word and Outlook e-mail and calendar. Excellent written and verbal communication skills. Strong administrative skills with excellent attention to detail. Basic Internet research skills and interest in learning new research tools and databases as needed. Flexibility and ability to handle competing priorities. Excellent organizational skills. Proactive and enthusiastic approach to client service and team work. Accurate typing skills of 65+ wpm. Ability to prioritize and organize multiple tasks in a fast-paced working environment.
