IRC Coordinator The candidate supports budget and collection management by applying and enforcing protocols surrounding acquisitions, data quality, account management, and other library operations. The incumbent is a detail-oriented, disciplined, highly organized individual looking to grow in a leadership and operations role. Facilitate and process monthly renewals, gathering information on usage, access, projected v. actual cost, allocation in the departmental budget, etc. Prepare recommendations and conduct monthly meetings with the IRC Operations Specialist. Maintain records of renewal and purchase decisions in a budget management workflow constructed in SharePoint. Field and process requests for new library acquisitions, adhering to Firm protocols surrounding redundant content, pricing, licensing and access, etc. Support the IRC Operations Specialist in contract negotiation by gathering and preparing data on usage, current stakeholders, available alternative access, etc. Manage information resource accounts based on licensing restrictions. This includes creating and deleting personal research accounts for arrivals and departures, fielding ID requests from existing attorneys and staff, and maintaining current user lists. Liaise with Talent Development and vendor representatives to facilitate attorney onboarding. Communicate directly with incoming and outgoing attorneys regarding personal research accounts, training, library materials, and IRC services. Field incoming requests regarding current holdings, access to digital subscriptions, etc. Monitor the timely receipt and processing of library materials and invoices via automated claims reports and SharePoint workflow tools. Oversee data quality in the Firm’s integrated library system (EOS). Execute proper cataloging procedures in the creation and deletion of EOS records for new or deaccessioned resources. Adhere to departmental protocols for display of collection-specific holding information. Design, facilitate, and participate in ongoing cleanup projects related to EOS, the department’s budget, collection, etc. Maintain active knowledge of the mail and invoice processes executed by the IRC Operations Assistant and be able to train as necessary.
Qualification and Experience
A Bachelor’s degree required; focus on pre-law, library/information science, writing/English, business/market analysis preferred. JD and/or MLS/MLIS candidates preferred. 2-4 years’ experience in legal/professional services industry strongly preferred. Must ahve proficiency with Microsoft Office suite, with exceptional Excel/PowerPoint skills. Should have familiarity with a library cataloging system (EOS preferred). Should have uderstanding of library operations and budget management. Experience with SharePoint strongly preferred. Must have excellent communication and interpersonal skills. Should have ability to spot problems, determine probable causes, identify and implement solutions. Must have ability to evaluate and prioritize assignment urgency and maintain professional demeanor under stress. Ability to establish trust-based relationships with attorneys and staff is needed.
