Team Secretary Duties: Provide the full scope of secretarial support to the attorneys and paralegals assigned to the Team as well as assist other secretaries within the department/Firm. Type/edit documents, using the Firm's word processing software, including advanced functions such as Table of Authorities, Table of Contents, Styles, Schemes, Track Changes, etc. Compose basic transmittal letters, etc. . Assist attorneys with daily workflow. Monitor Team email inbox for assignments. Provide exceptional client service in addition to maintaining daily communication with attorneys/paralegals assigned to the Team. Assemble pleadings for court/agency filings, services and MWE client files (including all attachments). Assist with Court/Agency filings, including all tasks pertaining to that filing. Prepare and process appropriate Proof/Certificate of Service. Maintain pleading clips. Coordinate depositions, arbitrations and mediations. Perform redaction and bates numbering electronically. Handle and manage intake process beginning with conflicts check through to the creation of the client/matter number. Arrange conferences and meetings, book conference rooms, coordinate attendees, arrange meal service, etc. through Meeting Center. Transcribe notes from meetings and conferences. Internet research using Lexis and WestLaw, including obtaining court dockets from PACER, Court/Agency websites or other research tools. Maintain desk files and records for easy retrieval and coordinate with Records Management for proper organization and maintenance of clients files. Maintain attorney calendar, if appropriate. Handle phone coverage for attorneys/paralegals assigned to the Team. Travel arrangements including flights, trains, hotels, car service, rental car, using Orbitz for Business. Update attorneys/paralegals concerning mail and phone messages while traveling. Proofread documents, emails, etc. for accuracy. Prepare and coordinate requests for duplicating, messenger delivery, word processing, special mailings, accounting and other office services. Organize and consistently maintain attorney/paralegal files in a timely manner (e.g., billing, expenses, client matter list, etc.). Process and monitor attorney/paralegal expense reimbursements, reconcile phone and Blackberry charges, vendor bills and check requests. Maintain attorney and Team calendars and contacts through Outlook, if appropriate. Assist with monthly client billing, if appropriate. Maintain proficiency in Word, FileSite/DeskSite, Excel, PowerPoint, Adobe Pro as well as other Firm software. Maintain attorney profiles. Regular, predictable, and timely attendance.
Qualification and Experience
Requirements: High School Diploma or equivalent required. Previous secretarial experience required, 2+ years in a legal environment. Knowledge of Live Notes, Concordance, Relativity, and eRooms a plus. Proficiency in all Firm software programs, including MS Word, FileSite/DeskSite, Adobe Pro, Excel and PowerPoint. Knowledge of court filings and ability to eFile. Typing speed of 70 wpm. Excellent organizational skills needed to manage time well, prioritize effectively and handle multiple deadlines. Excellent verbal and written communication skills. Excellent client service skills.Excellent proofreading skills. Excellent interpersonal communication skills. Strong problem solving ability. Professional behavior should be maintained at all times. Familiarity with general office equipment, e.g., copying, facsimile, transcriber and phone system. Ability to handle various tasks at same time and prioritize duties as necessary. Ability to work effectively as a member of a Team, including ability to share and receive information. Basic understanding of business math.
