Legal Secretary – Probate & Estate Planning Duties: Assist attorney in the administration of probate estates including, but not limited to: preparation of probate documents, office conferences with clients and filing of documents timely in accordance with statutory requirements. Maintain estate checking accounts and pay debts of administration on behalf of clients. Assist attorney with probate and non-probate Trust administrations including preparation of Trust accountings and other miscellaneous documents. Prepare instruments of conveyance pertaining to real estate including deeds and affidavits. Initial preparation and revision to litigation and corporate documents and other dictated and hand written material per the timekeeper’s instruction. Ability to transcribe from dictation. Communicate with clients, courts, and other entities via phone, email and mail as necessary. Maintain and input billable time. Prepare estate planning documents and correspondence to clients in Hotdocs and Prolaw. Copying and scanning of document as necessary. Conduct all duties in compliance with all laws and legal ethics. Perform other tasks as assigned.
Qualification and Experience
Qualifications: High school diploma/GED. 2+ years of legal secretarial experience is mandatory with additional years of experience strongly preferred – specific probate and/or estate planning are a major bonus. Ability to perform each job duty (with or without reasonable accommodation). Must have strong computer skills including MS Office 2010 (Word, Excel, PowerPoint, Outlook), Windows 7, and Internet Explorer. Must be comfortable and competent working in a structured environment with many established and highly specific procedures. Maintain a professional, friendly, cheerful, and highly courteous demeanor at all times. Must be punctual in arriving for work and in meeting all work deadlines. Must possess a Team player mentality with an entrepreneurial spirit. Must be flexible and not possess a “that’s not my job†mentality. Must be proactive – those who ask “what can I do next to help?†fit the bill. Must be readily accepting of supervision, constructive criticism, and having errors pointed out while also being able to work autonomously. Must be able to communicate effectively both verbally and in writing. Must be competent in understanding and following verbal and written instruction. Must be competent in grasping and incorporating new information quickly. Must exercise good judgment and make great decisions. Must exercise strong time management skills and prioritization of duties to create maximum efficiency with minimum disruption or redundancy. Must approach duties in an energetic manner and show strong initiative, ownership of your duties, and be truly engage in your duties. Must have strong organizational and project management skills. Must be fluent in oral and written English.
