Legal Assistant / Administrative Support The candidate will work closely with the team supporting all elements of the company’s growth. Will provide administrative and paraprofessional legal support to the company’s business legal needs. Handle confidential and non-routine information. Gather and arrange various types of documents for multiple signatures. Manage and maintain large volumes of files and documents in both the paper and electronic filing systems. Assist with preparation of various real estate instruments, as needed. Type and design general correspondence, memos, charts, tables, graphs, etc. Update and chase delegated tasks to ensure progress to deadlines. Schedule and coordinate both onsite and offsite meetings, including providing catering and technical requirements as needed. Provide telephone support for team, including answering and screening telephone calls, routing calls elsewhere as needed, taking messages and answering all routine and non-routine questions. Performs various other administrative duties, including filing, mailing, photocopying, faxing and courier, as assigned, and assistance with special projects of a small to moderate nature and scope.

Qualification and Experience

Requirements: 3+ years of experience providing management and administrative support. Real estate experience with a law firm, title company, mortgage company or other related entity and 2+ years of law firm experience in litigation. Professional appearance and demeanor. Self-motivated, detail-oriented with creative problem solving, strong organizational and time management skills and the ability to work under pressure. Ability to deal with sensitive business information in a confidential and professional manner. Strong intrapersonal skills and above average verbal and written communication coupled with proofreading skills, attention to detail and planning, strong follow-up skills and knowledge of commonly used concepts and practices. Ability to handle multiple tasks/projects simultaneously and demonstrate flexibility and adaptability to changing priorities, including the ability to prioritize workload to meet critical deadlines. Ability to comprehend internal systems and approvals and the ability to move things through. Ability to work independently and in a team setting in a face paced environment. Excellent knowledge of general computing skills as well as competency in MS Word, Excel, Outlook and Internet software.
