Executive Assistant Duties: Reporting directly to the COO/CFO, the Executive Assistant performs highly confidential administrative and operational duties to assist the COO/CFO with various corporate and personal functions. Manage the completion of multiple special projects/presentations simultaneously. Prepare internal and external correspondence, memos and other documents; Manage incoming correspondence and documents as needed, ensuring confidentiality is maintained. Acts as a liaison, communicates with parties as needed on behalf of senior management, facilitate day to day business matters. Occasionally travel with or for the COO/CFO. Manage the Chief Officer’s calendar as needed by planning and scheduling meetings, conferences, and teleconferences. Conduct research and compile data as required. Provide support for other executives and special projects at direction of COO/CFO.
Qualification and Experience
Qualifications: 4 year college/university degree required. Previous experience in Executive Assistant/Paralegal role with direct reporting to senior-level management, 3+ years preferred. Knowledge of Intellectual Property a plus. Familiarity with contracts and legal documents a plus. Advanced in Microsoft Office – Word, Excel, Powerpoint, Outlook. Previous experience in legal, finance, vendor relationships, and/or operations a plus. Strong sense of propriety and discretion. Must be flexible to work with the COO/CFO’s schedule any day, including weekends.. Must be thorough and detailed oriented, and have the ability to maintain composure under pressure.
