Legal Secretary Responsibilities: Will work under the general direction of the Deputy Director, Office of Enforcement, and the direct supervision of the Staff Services Manager I. Will be responsible for a variety of difficult and complex legal secretarial duties. Drafts and formats legal documents and correspondence for assigned attorneys. Legal documents include, but are not limited to, accusations, subpoenas, orders, memoranda, motions, points and authorities, table of contents, and t able of authorities. Reviews legal documents for correct English usage, spelling, punctuation, syntax, and legal terminology. Reviews legal documents for correct citation references utilizing the California Style Manual and makes corrections when necessary. Files and services legal documents in multiple jurisdictions including state, federal, and appellate courts or the Office of Administrative Hearings adhering to the rules and procedures required by each jurisdiction. Maintains attorney(s) calendar by planning and scheduling conferences, teleconferences, depositions, travel, and other engagements; recording and monitoring court appearance dates, pleadings, and filing requirements; maintains calendars for assigned attorney(s) to ensure no scheduling conflicts and to inform attorney)s) of court imposed deadlines.
Qualification and Experience
Qualifications : Must demonstrate proficiency in California’s administrative and civil procedures. Knowledge of superior court, local, and administrative hearing rules, and procedures and forms used in each jurisdiction is desirable. Knowledge of the organization and composition of business letters, reports, charts, and numerical and tabular materials is desirable. Knowledge of legal terminology and syntax, and content, organization and format of legal documents and correspondence is desirable. Ability to interpret and apply complex rules, regulations, policies, procedures and use legal resources, such as legal dictionary and the California Style Manual, and basic knowledge of statutes and regulations. Ability to interpret instructions and guidelines in order to make decisions and take necessary actions. Ability to determine work priorities, work under pressure, and maintain composure during stressful situations occurring as as result of workloads and/or deadlines. Ability to effectively communicate, both orally and in writing. Ability to work independently, as well as, cooperatively and effectively with others. Ability to follow oral and written instructions, adjust to shifting priorities, dependable, punctual, and excellent attendance. Knowledge of and ability to skillfully operate modern office equipment and Microsoft applications.
