Legal Assistant - Estates and Trusts Duties:Provide support to the Estate and Trust Administrators, Paralegals and Attorneys of the Private Client Practice Group. Prepare and manage documents and correspondence related to individual clients. Extensive internal and external client contact, organizational and research support, as well as perform a wide variety of other functions associated with the support of tax filings for local, state and Federal governments. Improve processes and procedures. Champions and practices cooperation, collaboration and teamwork and serves as a mentor to junior Associates, Paralegals and Secretaries with less experience in the Private Client Practice Group. Compiles, assimilates, and organizes materials for clients, such as Estates, Wills, Trusts, Settlement Agreements, Probate Forms, Audit Petitions, Securities and Tax Filings. Coordinates, copies, indexes and files client-related materials. Maintains the Will Vault. Obtains Employee Identification Numbers for tax purposes. Acts as an expert in the Estates and Trusts team, fielding questions from principals, secretaries and clients as needed. Investigates and responds to all. Communicates extensively with clients, counsel, associates, partners, paralegals and other high level directors. Answers phones, transfers calls, takes messages, and uses voice mail. Reviews and processes administrative and personal charges via BillBack program. Utilizes iManage document management system effectively as a central repository for all matter related documents. Opens mail (may include electronic e-mails) reading for content and or action; forwards, responds and files as applicable. Prepares New Matter Reports and updates list of client/matter codes. Prepares and checks for new matters. Updates Desk Notes, as needed. Assists with miscellaneous projects assigned by practice group attorneys, Estate Trust Administrators and paralegals. Practices and fosters an atmosphere of teamwork, collaboration and cooperation. “Go to” person within the Estates and Trusts team. Performs any and all other duties as necessary and as assigned by supervisor, including special projects, for efficient functioning of the Department, Office and Firm.

Qualification and Experience

Requirements: High School Diploma is required. College a plus. Experience working directly with Tax, Estates and Trusts clients. Familiar with tax filing procedures. Excellent written and verbal communication skills. Excellent interpersonal and organizational skills. High attention to detail and ability to multi-task in a high paced environment. Good judgment and calm demeanor in stressful situations. Ability to prioritize and coordinate work. Ability to maintain confidential information. Ability to juggle multiple tasks and manage to deadlines. Ability to think critically and analytically in a pressured environment. Ability to clearly and effectively communicate with various levels of people within and outside of the organization. Ability to work independently, productively and cooperatively with other employees. Ability to constantly learn new skills as they become necessary. Equipment: computer, fax machines, duplicating machines, scanners. Systems: iManage, MS Office, Legiant.
