Administrative Assistant II – Legal Duties: Will perform administrative support duties for attorneys and legal assistants during all phases of the litigation process from the initiation of a case to the discovery period and through trial and appeals. Perform administrative support duties for attorneys on transactional matters. Draft routine correspondence for attorneys and support staff. Review and finalize pleadings for filing with the court. Assist legal staff in maintaining case files in accordance with department procedures. Docket deadlines in accordance with department procedures and ensure deadlines are updated and met. Assist in updating case management database in accordance with department procedures. Process incoming mail by scanning, copying, and saving into the appropriate case files. Schedule interviews and travel arrangements as needed. Prepare check requests and expense reports for attorneys. Prepare case files for closing in accordance with department procedures. Process invoices for payment in accordance with department procedures. Perform other administrative duties as required.
Qualification and Experience
Qualification Requirements: High school diploma or equivalent. Successful completion of a paralegal program or Associate’s degree in Legal Studies is preferred. 3+ years of experience in an administrative support role in an oil and gas law firm or similar agency is preferred. 3+ years of administrative experience. Excellent written and verbal English communications skills. In-depth knowledge of legal terminology, court rules and procedures. Should be highly organized and detail oriented. Ability to effectively manage time and prioritize projects in order to meet established deadlines. Demonstrate basic computer knowledge through effective use of a personal computer including Microsoft Office applications. Ability to learn company specific applications. Able to work and communicate effectively with all levels of co-workers, clients, and other external contacts. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Communicating effectively in writing as well as orally as appropriate for the needs of the audience. Understanding the implications of new information for both current and future problem-solving and decision-making.
