Executive Assistant The candidate will be responsible for providing administrative support to the CEO and CLO. Duties include all clerical functions, preparation of legal documents and projecting a professional company image through in-person and phone interaction. Schedules all meetings that require the attendance of the CEO and/or CLO. Makes all travel arrangements for out of town trips including flights, rental cars and hotel reservations. Registers executives for conferences. Attends meetings and takes minutes as required. Completes contracts (COI’s, State Disclosure Forms, etc.). Attends meetings and coordinates planning of Company Functions. Generates weekly timesheets. Prepares contracts and memos from dictations. Prepares legal correspondence for lawsuits, collection letters, etc. Compiles documents for subpoenas. Works with PMs to finalize contracts, posts to metapoint, logs and files reviewed contracts. Tracks Collections. Assists CLO with the company. Maintains Certificates of Insurance by obtaining COI’s for contracts, sends COI’s to clients and works with insurance carriers on annual renewals. Maintains master log of company leases which includes typing addendums and renewals as needed. Updates and maintains log of approved invoices for legal, ESOP and any others required. Responsible for the Board of Director quarterly binders, board minutes, litigation status, consents and resolutions, and arrangements for quarterly meetings- attends Corporate meetings of the Board of Directors. Generates monthly expense reports and vehicle allowance reports. Creates Powerpoint presentations for the Annual Communications Meeting. Compiles Pre-Qualification Forms for clients through coordination with various departments. Assists with special events such as the Annual Communications Meeting, Christmas Party and company fundraisers. Relieves the receptionist based on a rotating schedule. Organizes the Long-Term Strategy Meeting. Conduct all work activities in compliance with company Health, Safety and Environmental Management System, safety policies and procedures, safety execution plans and Job Safety and Environmental Analyses. Attend and pro-actively participate in monthly safety meetings, project toolbox safety meetings and safety moments. Ensures on time and regular attendance. Should have High School diploma or equivalent. Must have 5 years experience in an executive office environment. Should have intermediate-advanced computer skills which include Microsoft Office applications. Must have excellent written and verbal skills. Legal secretarial or paralegal experience preferred.
