Legal Assistant The candidate performs diversified administrative duties in support of the Legal, Risk Management, Compliance, and Accreditation Departments (Legal). Supports the purpose of these departments in support of company's overall vision, mission and goals. Manages the administrative office of the Legal Department. This includes to, project support, promptly collecting and distributing mail, scheduling of appointments and ordering supplies. Coordinates all office communications. Screens and responds to telephone calls or refers to appropriate staff members to respond. Meets and greets visitors to the department. Ensures proper use, maintenance and function of communications systems (telephones, computers, copy machines, etc.). Develops and maintains paper and electronic files including meeting minutes, reference materials and other records. Completes necessary paperwork and obtains required documentation to pay bills. Handles administrative matters independently as appropriate on behalf of the General Counsel and other members of the Legal Department. Acts as a resource to staff members, external attorneys and insurers. Develops, maintains and updates databases in support of the Legal department's efforts. Prepares correspondence, reports, memorandums, databases, manuals, forms, flyers, tables, graphics, spreadsheets, special projects and related materials as needed. Schedules and coordinates departmental and inter-departmental meetings; distributes notices and agendas of meetings. Makes arrangement for rooms, refreshments and equipment. Coordinates and performs photocopying. Prepares Power Point presentations as well as appropriate hand out materials for meetings and presentations. Maintains appropriate supply level of materials in normal inventory; completes ordering of special supplies/items. Ensures confidentiality of physicians, employees, legal, client/patient, budget and all matters. Maintains good communication within immediate Legal work team in addition to other departments/entities within the system. Establishes and maintains positive working relationships with department members, physicians, vendors and the public. Arranges travel accommodations including to: booking flights, room accommodations and conference registration, in addition to preparing an itinerary. Applies Break the Glass as appropriate. Monitors the compliance hotline, compliance inbox, and takes appropriate action. Maintains a system to monitor responses to subpoenas, and follows up with attorneys and staff as necessary. Maintains the Legal websites.

Qualification and Experience

The candidate should have Associate's degree or equivalent experience. Should have 5+ years of progressive general administrative or busy office management experience, preferably in healthcare or legal office environment. Strong database management skills are needed. Should have knowledge of office management principles, methods, and procedures. Must have ability to manage and prioritize multiple assignments. Must have ability to communicate effectively, both orally and in writing.
