Intellectual Property Secretary Duties: Performs a variety of secretarial and/or administrative duties for assigned attorneys and other staff in the patent prosecution department. Interacts with colleagues in a team setting and upholds the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters. Assists with coordinating workflow throughout the entire patent prosecution department; and coordinates with docketing department for upcoming patent activity due dates (i.e.,: Office Action responses). Assists attorneys with all aspects of patent prosecution (domestic, PCT, foreign): Assists attorneys with utility (Continuation, CIP, Divisional), provisional and design patent applications;. Prepares Office Action response templates (acquiring cited prior art, updating claims status) for USPTO and foreign patent offices; edits and revises documents under attorney instruction as necessary. Orders patent searches; tracks and organizes search reports; coordinates search results meetings. Prepares reporting letters and correspondence to clients. Proofreads documents and checks for appropriate formatting, spelling and grammar. Maintains good public relations with clients. Sorts, dates and reads incoming mail and faxes. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Prepares expense reports. Provides overflow assistance and secretarial support as needed for others, including providing temporary support to non-assigned attorneys whose secretaries may be absent. Other duties and projects as assigned. Maintains attorney Outlook calendar and backup deadline reminder systems. Enters attorney and paralegal time. Sends time entry reminders and tracks entries. Transcribes dictation (machine transcription and/or shorthand). Screens telephone calls, listens to voicemail and records messages. Schedules appointments and makes arrangements for meetings, conferences and travel. Receives clients and visitors. Reviews and prints e-mail messages. Requirements: High school graduate. Additional education is desired. 5+ years of secretarial experience in a Patent Prosecution environment is required. Extensive experience required in electronic filing and accessing of documents with the USPTO. Knowledge of patent docketing systems and familiarity of U.S. patent laws is required. Typing speed/accuracy: 65 wpm with 95% accuracy. Proficiency in Microsoft Programs (Word, Outlook, Excel, Visio). Legal citation and legal terminology expertise. Excellent grammatical and spelling skills. Familiarity with CPI, Carpe Diem, Elite, DeltaView, DocsOpen or similar technology.
