Senior Manager, IP & Technology Law Department Operations Duties: Providing team leadership, coaching, and training to PTO paralegals/support staff to improve team efficiency, streamline procedures, and meet PTO deadlines and quality requirements. Lead, direct, manage and develop support team who have knowledge and skills in PTO procedure. Identify resource requirements to support IP Dept attorneys. Meet IP Dept resource requirements by scheduling and assigning employees, following up on work results, and balancing workload among support team. Maintain support team work product results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results. Develop individual support team skills in PTO / paralegal practice and procedures. Maintain support team by recruiting, selecting, orienting, and training permanent and temp employees. Supervise and coordinate PTO paralegal support to meet PTO deadlines / requirements. Supervise the preparation and filing of documents necessary for new patent applications, office action responses, assignments, declarations, IDS, and appeal briefs according to PTO practice. Lead various projects to improve quality and/or streamline support team tools and procedures. Partner with attorneys and support staff to ensure procedures and quality checklists are consistent with recent changes in PTO procedure / best practices. Coordinate with in-house and outside counsel as necessary on PTO application filings and communications. Develop, manage and maintain IP Dept systems and provide attorney support by leveraging knowledge of IP practice / procedures. Enhance office efficiency by planning, procuring and implementing IP Dept systems, workflows, and tools. Identify opportunities and initiate plans to consolidate support / paralegal team tasks, including cross-functional paralegal tasks. Shift paralegal/administrative work from IP Dept attorneys to support team. Partner with IP Dept function leaders to track and meet quarterly and annual budgets. Keep IP Dept management informed by writing and analyzing reports, summarizing information, and identifying trends.
Qualification and Experience
Qualifications: Bachelor’s Degree. 10 years of experience in IP / PTO paralegal support, including 5 years of experience in leading / managing PTO paralegals / support staff. Demonstrated experience with PTO requirements and IP process improvement. Acts independently with minimum supervision to initiate, prioritize, develop, and implement dept procedures. Demonstrates excellent judgment and maintains confidences. Acute attention to detail with excellent written and verbal communication skills. Ability to multitask, appropriately prioritize and keep stakeholders informed and updated. Intermediate to advanced skills in a range of office software, including Outlook e-mail and calendaring, Excel spreadsheets, PowerPoint presentations, and docketing and invoice database software systems.
