Legal Secretary - Business Transactions Duties: Performs a broad range of secretarial duties for an attorney or supervisor requiring a knowledge of policies, legal procedures and terminology. Maintains a working knowledge of an attorney’s area of practice. Will be assigned to a minimum of four attorneys to support a specific legal practice area and be supervised by the Director of Human Resources. Supporting the Business Transactions law section. Typing memoranda, correspondence, legal documents, charts and tables using various word processing applications. Proofread finished documents. Thorough working knowledge of software applications as tools to complete assigned tasks. Open and sort incoming mail. Schedule appointments, set up conference calls, arrange meetings, schedule conference rooms and/or make travel arrangements. Receive/screen incoming calls, take messages and enter into voicemail per attorney preferences. Interact with clients by telephone, email or while visiting our offices. Prepare, send and receive faxes. Make photocopies and print client documentation from email distribution lists. Prepare and update sub-file lists for client files. Maintain electronic and hardcopy files in accordance with the Firm’s Records Retention Policies. Process attorney weekly time summaries, review billing pro formas and prepare monthly invoices. Open new client files and sub-files following Firm’s New Client/Matter Intake process. Prepare correspondence from dictation. May spend more time on administrative tasks, such as managing electronic and hardcopy paper flow of client and attorney documents, rather than typing and revising documents. The tasks performed day-to-day will depend on the practice area and attorney preferences.
Qualification and Experience
Qualifications: High school diploma or equivalent required, degree preferred. Must have 2-3 years secretarial experience. Legal secretarial experience is desirable, but not required. Typing skills of 85+ wpm. Must possess strong organizational skills and communications skills, both verbal and written. Must be able to work well with personnel at all levels. Must be very detail oriented, and in most cases, flexible on working extended hours when necessary. Must be able to operate the Firm’s software applications, customized document and table styles at an advanced level within a reasonable period of time.
