Profile

Immigration Specialist Duties: Completes all paperwork for Non-Immigrant Visa (i.e., H-1B, TN, L1-A, L1-B etc.) petitions, both initial applications and transfers, company-wide. Works with outside counsel to compile and coordinate all paperwork and filing of H-1B petitions during "cap filing season." Partners with Talent Acquisition team, and advises on questions related to candidate sponsorship needs prior to hiring decisions being made. Works with sponsored employees, HR, and Business Unit Leaders to complete and all paperwork for Non-Immigrant Visa (i.e. H-1b, TN, L1-A, L1-B etc.) extensions and amendments. Partners with sponsored associates, HR, managers, and Business Unit Leaders to advise, coach and make recommendations on Permanent Residency (Green Card) cases and filings. Drives and assists in the completion of all paperwork and steps associated with Permanent Residency (Green Card) process for all cases, company-wide. Tracks expirations of, and partners with HR and sponsored employees to complete all I-9 Work Authorization reverifications. Tracks all sponsorship cases, activity, and spend in order to make recommendations for process, policy, and decision improvement to realize best practices. Completes employment verification letters for sponsored employees traveling internationally, as requested. Provides training and informational materials on immigration/sponsorship to leaders, managers, HR, and the Talent Acquisition team. Regularly partners with outside immigration counsel for petition filings, additional training, additional information, and additional support. Acts as the middle man between candidates/employees and outside immigration counsel. Communicate regularly with candidates/employees on their status and follow-up activities to ensure accuracy of the individual's status. Assist in obtaining documents necessary for work permit/visa applications (birth certificates, marriage licenses, resumes, etc.) Resolve outstanding issues with appropriate parties, including HR, the employee, outside counsel, government agencies and foreign embassies. Consult and work with outside immigration counsel for clarification on immigration issues. Assist in drafting RFEs, as required. Oversee internal process related to non-immigrant visa petitions (H-1B, L-1, TN) including new hires, extensions, amendments, transfers, and terminations. Educate and support foreign national employees, HR, managers, and Talent Acquisition team about ZeOmega's visa and immigration policies, procedures, and processes. Coordinate with Talent Acquisition Team, outside immigration counsel, HR and foreign national to ensure compliance, maximum efficiency and timeliness of required documentation. Provide support and expertise to relevant stakeholders to resolve complex immigration issues with temporary work permit and permanent residency cases. Build relationships with internal stakeholders such as HR/Talent Acquisition, Management as well as outside immigration counsel providers to achieve an optimal work environment. Assist in processing of invoices for legal and related services. Track and maintain internal documentation as required for immigration/visa purposes. Make independent decisions related to the most effective course of action to take related to visa processing dependent upon employee/candidate and business needs as well as outside immigration counsel input. Advise employees regarding restrictions for travel outside of the U.S. and general direction related to visa process. Maintain and regularly audit U.S. Department of Labor LCA Public Access Files and work with HR on the I-9 collection process to ensure compliance with all laws/regulations. Run visa and immigration reports for HR and management. Respond to all immigration questions, review issues and employee concerns in an expedient manner. Ensure compliance with all federal and state laws and stay abreast of changes in immigration law. Assist with preparation of annual immigration budget. Track critical immigration deadlines and initiate follow-up actions in a timely manner. Performs ad hoc HR/immigration activities under the guidance of the Human Resources Director.

Qualification and Experience

Qualifications: A Bachelor's Degree (four year college or technical school) or Work Equivalent. Paralegal certificate preferred. 3-5 years of experience in employment based immigration experience including preparation of H-1B visas, L-1 visa, and PERM application process. Computer Skills: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Internet Biz App (preferred). Excellent written and verbal communication skills and organizational skills. Organized with the ability to multi-task and track critical deadlines. Ability to research, assess facts, and determine their impact to the business. A strong sense of urgency, initiative and competitive drive to get things done correctly, with an emphasis on working with and through all levels of personnel in the process. The ability to interface well with all levels of personnel. Ability to work in a fast paced environment with minimal supervision, as well as part of a team. The ability to pay close attention to detail, sensitivity to timing and aptitude to follow through. The ability to support and maintain effective client-vendor relationships.
