Legal Administrative Assistant Duties: Plays an important role by providing administrative support for two lawyers and affiliated paralegals in the Securities, Corporate Governance & Finance group of the legal department, also known as the Justice League of firm. Provide clerical, communication, and administrative support for two lawyers and affiliated paralegals in the Securities, Governance & Finance group. Answer phones, screen calls, take and deliver messages and place calls as directed. Manage calendars and appointments (Microsoft Outlook), handle travel arrangements and expense reimbursement reports (Concur system), and create and maintain legal files and databases and compose routine correspondence. Review written comments and make revisions to legal correspondence, agreements, and documents, including running comparisons using Microsoft and Workshare Compare software programs. Run reports from electronic legal billing and matter management system (Serengeti), analyze data, and prepare departmental budget, spending, legal invoices and billing reports. Coordinate with AP Department the processing and payment of service vendor invoices. Interact in a professional manner with attorneys, paralegals, other administrative staff, all levels of management within the Company, the Board of Directors, and outside counsel on a variety of matters. Must be willing to perform tasks ranging from the routine to the more complex administrative-related responsibilities.

Qualification and Experience

Qualifications: BA/BS Degree preferred; minimum of two-year community college degree (AA or equivalent). 5+ years related experience in a corporation, legal department or law firm (or a combination of any of them). Must have strong computer and clerical skills, including advanced word processing skills and advanced proficiency in Microsoft suite programs (Word, Excel, PowerPoint, Outlook). Must have strong interpersonal and communication skills (both written and oral) and well-developed grammar and composition skills. Strong attention to detail and accuracy, time-management, and organizational skills. Must demonstrate ability to prioritize tasks and meet stringent deadlines in a dynamic, fast-paced environment with minimal supervision. Must be experienced with managing calendars, handling travel arrangements, creating and maintaining files and databases and composing routine correspondence and reports. Ability to multi-task, balance multiple clients and respond efficiently and effectively to a wide variety of constituencies. Self-starter, team-player, demonstrated ability to adapt to new situations and learn new skills. Knowledge of Serengeti (legal matter management and e-billing software) and/or Concur expense system a plus.
