Real Estate Legal Secretary The candidate will perform a variety of secretarial and administrative support activities in our Real Estate practice. Assists in accurately and efficiently preparing, revising, and distributing leases, titles, surveys, and other real estate related documents according to attorney and client instructions, following specific and detailed procedures, and using advanced knowledge and skills with word processing and other software programs. According to established procedures, uses real estate and leasing knowledge (from outside the firm or learned on the job) to help facilitate real estate transactions, needs, and requests. Prioritizes assignments and prepares detailed correspondence such as letters, memoranda, responses to requests for information, or regularly recurring reports from rough draft, machine dictation, and notes. Prepares large volumes of documents, makes closing binders of client records, and manages the integrity of client original documents. Maintain accurate and updated client and matter numbering. Maintains lease related reports, procedural manuals, leasing files; and accurately sorts, classifies and files correspondence, reports, and other documents according to appropriate procedures. Receives and screens internal/external visitors and telephone calls, and notifies appropriate personnel or records messages. Responds to detailed inquiries concerning departmental activities and operations that require in-depth knowledge of department and/or procedures. Schedules appointments, makes travel and/or meeting arrangements, and maintains business calendars as advised. Prepares bills and billing records, accurately enters attorney time, and prepares and maintains reference and client files. Performs related general office duties such as copying, scanning, collating, assembling and distributing documents. Among other tasks, cooperates with internal and external departmental members as needed. Qualifications: 5 years (prior and/or on-the-job) of progressively more responsible related work experience. Proficient use of Word and e-mail with Outlook (or compatible application), as well as an ability to effectively learn and use other software used by the firm such as HotDocs, RightFax, DeltaView, and Interaction. Must have an ability to proofread and edit non-routine correspondence, reports and tables. Must have interpersonal skills necessary to convey and obtain information. Must have a high level of communication skills requiring social sensitivity and in-depth knowledge of department procedures in order to communicate effectively with staff and management within and outside the department and external contacts, including clients. Must be a problem solver, willing to work and think with independence, handle confidential information with discretion, and accept responsibility for producing work that is consistently complete, timely, effective and accurate. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to follow and convey instructions effectively with a high degree of courtesy and tact including ability to independently initiate follow-up.
