Legal Administrative Assistant Candidate will support the team by completing tasks in creative and effective ways, working on assignments requiring considerable judgment and initiative, understanding the implications and confidentiality of work and make recommendations for solutions. Will determine methods and procedures on new assignments, and may provide guidance to other support level employees. Assist in organizing corporate minute books, prepare documentation for corporate meetings including board meetings, prepare and distribute materials in advance of such meetings. Enter data in contracts management system, assign contract numbers, obtain signatures on contracts with internal and external signers, and follow up. Enter data in entity management system and coordinate with company secretary’s office to maintain. Assist with the administrative aspects of the Company’s compliance initiatives, including tracking large amounts of data, following up with managers, routing documents for approval. Assist attorneys and paralegals with various types of documentation, may include drafting, proofreading, scanning, mailing. Work with internal stakeholders to obtain information requested by attorneys or paralegals. Provide general administrative support to legal team: File, sort mail, schedule meetings, arrange travel, pay invoices, create shipping labels, purchase supplies, and other administrative duties as assigned by DGC. Facilitate the updating of the legal websites (both internal and external), assist with managing virtual board room/online data rooms.
Qualification and Experience
Candidate with a Bachelor’s degree or equivalent work experience is preferred. 7+ years’ experience in a busy, professional administrative role, preferably with a law firm or an in-house legal department is needed. Proficiency with Microsoft Office Suite is needed. Experience using InDesign and/or Photoshop and entity management/document management software programs is desired.
