Litigation/IP Secretary Duties: Manages attorney's calendar and independently schedules appointments. Directs preparation of records such as agendas, notices, and minutes. Takes and transcribes of dictation, and composes and prepares confidential correspondence, reports, and other complex documents. Screens incoming calls and correspondence and responds independently. Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings. Coordinates programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget. Acts as custodian of corporate documents and records. Directs preparation and filing of corporate legal documents with government agencies to conform with statutes. Creates administrative procedures and forms. Preparing and filing formal documents in a timely manner with the U.S. Patent and Trademark Office. Provide assistance and back-up to preparation and filing of PCT and foreign applications Handling administrative aspects of U.S. patent prosecution Monitoring and maintaining attorney(s) case dockets Maintaining patent application files. Oversee, coordinate and assist with special projects and requests. Must have experience with the preparation of formal documents for the USPTO patent filings and maintaining U.S. patent application files. Experience with preparation and filing of PCT and foreign applications a plus. Advanced knowledge of software applications. Identifies and resolves problems in a timely manner; Gathers and analyzes information skillfully; Works well in group problem solving situations. Coordinates projects; Communicates changes and progress; Completes projects on time and budget. Writes clearly and informatively; Edits work for spelling and grammar; Varies writing style to meet needs; Able to read and interpret written information. Exhibits sound and accurate judgment; Makes timely decisions. Prioritizes and plans work activities; Uses time efficiently; Plans for additional resources; Sets goals and objectives; Organizes or schedules other people and their tasks. Qualification and Experience
Qualifications: 5+ years of legal secretarial experience and a background of job stability for our Orange County office. Should be a bright professional with strong proofreading skills, familiarity with both state and federal court filings, E-filing experience, Litigation and Trademark experience, and is detail oriented with great spelling and grammar skills.
