Executive Assistant and Project Administrator The candidate will works directly for the firm s Chief Talent Officer (CTO) managing and coordinating day-to-day schedule and projects and supporting the operational areas reporting to the CTO. Will provide administrative support to the firm s Chief Talent Officer. Plan, schedule, coordinate and revise meeting schedules with an awareness of priorities, conflicts and critical participants and answer and screen incoming phone calls and emails; review incoming correspondence and interoffice materials, determine priority and respond appropriately and make recommendations regarding appropriate action and follow-up. Draft executive letters, memos, reports and presentations and ensure the materials are updated in accordance with informational and audience changes and interact with Directors reporting to the CTO and assist with projects on an ad-hoc and/or scheduled basis dependent on the project or task. Schedule and support committee meetings, prepare presentation materials, and provide additional administrative support as needed and schedule and coordinate business travel arrangements. Schedule and coordinate meetings with Chief Talent Officer s direct reports, managing the agendas and preparing appropriate documents and act in a project administration capacity, identifying and ensuring specific tasks, milestones and contingency plans are addressed and in place, as required. The candidate must have an Undergraduate degree or equivalent job experience preferred and 5+ years of executive level administrative experience in a law firm or professional services environment. Proficiency in all Microsoft Office applications with advanced skills in PowerPoint and Excel is needed.
