Executive Legal Assistant The candidate will support a Senior Principal and an assigned WC attorney. The primary responsibility of this position is supporting the practice of a Senior Principal. Work includes managing busy calendars and constantly evolving schedules, coordinating meetings and events; supporting client reporting requirements and interfacing with them, both on the telephone and in person; managing client billing and new business intake; providing administrative support, including personal business. Additional responsibilities include creating, revising and formatting legal documents, spreadsheets and presentations using Office 2010, document comparison, transcription and proofreading. Duties also include answering phones, entering attorney time and other general secretarial duties and projects as assigned. In conjunction with the preparation of such documents, the Legal Secretary is responsible for proofreading, correctly formatting and questioning any inconsistencies in all materials. Enters time, processes expense reports, receives, places, and screens telephone calls; schedules conference calls, coordinates and schedules travel arrangements, maintains attorney/legal assistant calendars, conducts internet research as directed by attorneys. Interacts on a daily basis with peers and attorneys within the Firm to facilitate highest possible legal support to assignments and clients. Establishes and maintains paper and electronic files in compliance with current firm policies. Provides assistance to other Legal Secretaries within assigned teams whenever necessary to meet Firm and client needs; organizes and prioritizes workload so as to most efficiently enable and facilitate team effort to accomplish Firm and client goals. Fosters professional, cooperative and supportive relationships with peers, superiors and clients. Anticipates and identifies clients’/colleagues’ current and future needs. Shares information and offers ideas and solutions in a team environment.
Qualification and Experience
The candidate must have 5+ years of experience in a similar position within a professional organization. Uses word processing and document management software (Microsoft Office 2010, including PowerPoint, Excel, Perfect Law, etc.) to prepare and revise, format and finalize a wide variety of documents, including correspondence, memoranda, and legal materials.
