Legal Assistant The candidate provides administrative and legal support to Attorney(s) in the Legal Department. Drafts and proofreads correspondence, responses to consumer agencies, agreements, leases and other documents as assigned and necessary. Organizes, schedules and maintains assigned Attorney’s calendar by arranging meetings, travel and coordinating activities on their behalf. Assists and/or manages corporate governance matters as may be assigned by Attorney. Keeps matters for the Legal Department organized by establishing and/or maintaining effective filing processes. Receives, sorts, and distributes mail, faxes, and courier packages to appropriate person. Scans all incoming and outgoing documentation to maintain paperless files up to date. Prepares and sends registered mailings. Answers telephone, screens calls, takes messages, provides information or assists caller as necessary. Provides information to clients and assists them with their inquiries whenever possible, usually via telephone. Acts as liaison among various internal departments as well as outside agencies. Organizes, processes and maintains all legal invoices for the Department. Prepares expense report(s) for Associate Counsel. Updates and manages Docket reports weekly. Creates and maintains Excel charts and summaries. Receives, organizes and prepares weekly client cancellation reports and distributes same to the appropriate recipients. Conducts basic legal research using Internet and other legal research tools. Photocopies and distributes various correspondence and documents. Sends and records outgoing faxes. Receives, sorts, and distributes incoming faxes. Informs Associate Counsel of significant issues/problems as required. Performs other duties as assigned.
Qualification and Experience
The candidate should have an Associates Degree or Bachelor’s Degree (Paralegal/Legal Certification a plus). Must have 2-3 years' related experience in a similar environment. Corporate legal department experience a plus. Excellent communication skills (verbal, written and interpersonal) are required. Should have attention to detail, accuracy, and flexibility in handling multiple tasks, often under time constraints. Excellent planning and organizational skills are needed. Must have excellent skills/knowledge in Outlook, Word, Excel and PowerPoint. Deadline: September 30, 2014
