Franchise Specialist (Paralegal) Duties: Responsible for the full life-cycle franchise contract maintenance processes associated with the administration of franchise agreements, amendments, disclosures, renewals, and terminations. Will lead the efforts in supporting the processes, procedures and accountability standards associated with the preparation, execution, and ongoing maintenance of all forms of franchise agreements and amendments and the annual preparation of FTC-regulated disclosure documents and state filings, and audit support. Formal Franchise Compliance Officer. Stay abreast of and ensure compliance with Federal Trade Commission franchising regulations. Responsible for drafting and maintaining contract administration documentation and all documents throughout the life-cycle of the franchise relationship, and routine change management activities such as amendments, disclosures, consolidations, transfers, and renewals. Key participant in renewals and updates to current contracts and amendments. Responsible for the preparation of Franchise Disclosure Documents in conjunction with outside counsel. Coordinate state registration updates, and annually update SBA registration. Serve as a primary point of contact and interface appropriately with a broad array of internal and external stakeholders of all levels, including franchisees, retail operations team, legal team, outside counsel, and other franchise support resources or cross functional teams to effectively execute responsibilities. Responsible for upholding compliance by identifying, researching, and analyzing data related to potential violations of brand’s policies and procedures and Fair Trade regulations. Responsible for documentation regarding Default and Termination processes. Respond to customer’s priority needs for service and support; ensuring individual customer needs are met; seeking customer feedback; and determining and initiating appropriate course of action. Respond to requests for information, documents, and status of file/matter in timely manner. Perform legal research, review and interpret contracts. Upholds strict adherence to policies and procedures, ensuring required documentation, reviews, and approvals are obtained. Support departmental records/data management and retention efforts using internal technology resources. Maintain Filemaker Pro Legal Database. Communicate with departmental team members to gather or convey relevant information. Assess and determine the appropriate course of action for escalation issues and provide proactive solutions. General administrative and office support as needed.
Qualification and Experience
Requirements: Bachelor degree is required; and a professional certification as a paralegal is preferred. 5+ years’ experience as a paralegal with substantive experience in contract or franchise administration Experience within in a large law firm or in-house corporate law department is preferred. Proficient in MS Office 365 (Excel, PowerPoint, OneDrive, Outlook, SharePoint etc.) Excellent verbal and written communications skills are essential. Ability to work autonomously with initiative, and work well in a collaborative and team environment. Strong analytical and problem solving skills. Strong multi-tasking skills with a comfort in maintaining multiple, often conflicting, priorities, and deadlines. Excellent organizational, planning and project management skills.
