Intellectual Property Administrative Assistant Responsibilities: Will provide administrative support in the Intellectual property assistant and administrative departments. Work cohesively with attorneys, staff and department teams to provide efficient and superior internal and external customer service and contribute to a welcoming and professional environment. Coordinate IP Assistant meetings and training by scheduling meeting rooms, securing audio visual equipment and hospitality services, and preparing agendas with IP Assistant/Paralegal Supervisor. Assist with general Business Development duties and provide Business Development on-site and off-site event coordination, working with the department team and attorneys to ensure excellent event execution. Meet with attorneys, clients and business associates as needed to confirm event details and expectations before events and throughout the event planning process. Prepare write-ups of business development events and take event photos for inclusion in marketing updates. Prepare promotional packages as needed for attorneys and maintain marketing collateral and supplies. Keep record of department updates and necessary items for communication to the IP Assistant department. Provide backup support to IP Assistant/Paralegal Supervisor, including coordination of coverage for absent IP Assistants. Provide backup assistance in maintaining and updating coverage calendar by receiving out of office requests, evaluating the level of coverage needed from attorney and scientist, and evenly distributing work flow. Assist with the preparation of training schedules for incoming and transferring personnel and maintain training materials and binders. Schedule use of conference rooms, book travel as needed, and perform back up reception duties. Pick up and drop off items outside the building as requested. Conduct and participate in training as necessary. Complete other duties as assigned by Supervisors.
Qualification and Experience
Qualification Requirements: Previous administrative support or legal clerical experience. Experience in or knowledge of Intellectual Property is desirable. Effective writing skills, excellent proofreading, spelling, grammar, and punctuation skills. Must be highly organized, manage time well and employ effective problem solving. Due to client contact, must be customer-service oriented and present a professional image. Ability to work with minimal supervision exercising good judgment and decision making. Excellent computer skills. Proficiency in Microsoft Office Suite.
