Legal Secretary Commercial Litigation The candidate will provide high-level legal and administrative support, with minimal supervision, to designated attorneys, paralegals and to the Firm. As a member of a professional support staff team, this position will also promote and maintain the good will and reputation of the Firm and maintain the highest level of professional conduct and confidentiality. Primary duties: Proactively maintain overview of attorney/paralegal workload. Create, edit, revise, redline, and/or proofread documents from dictation, handwritten, typed, and/or electronic copy. Implement follow-up procedures to ensure tasks are tracked and carried through to completion. Manage document production/distribution, including efficiently and effectively using all available resources. Maintain attorney/paralegal calendars. Coordinate conferences, meetings, appointments, secure venues, order meals, and prepare materials. Coordinate with docketing specialist and maintain/calendar/review relevant docketing events. Coordinate travel arrangements, including securing air, hotel, and automobile. File paper and electronic documents with appropriate courts/agencies. Follow proper procedures and meet deadlines. Receive, screen, and transmit all forms of communication with a sense of urgency. Coordinate preliminary conflicts checks and prepare client intake forms and engagement letters. Assist with billing process, including time entry and review/edit of proformas. Prepare/submit appropriate accounting documents, including reimbursement requests and trust documents. Set up and maintain files, conduct research, and perform other assignments and responsibilities as assigned. Required: High school diploma or equivalent. 5 years of recent legal secretarial experience working in a large law firm environment or equivalent plus administrative/executive-level experience. Ability to take charge, including independently triaging attorneys' emails. Accurately type 75 wpm. Proficiency in MS Office Applications (Outlook, Word, Excel, and PowerPoint) and basic office equipment. Ability to express self effectively both orally and in writing. Strong command of the English language, including excellent spelling, grammar, punctuation, form and style, the ability to compose correspondence and proofread, and a high level of attention to detail. Preferred: College degree. Familiarity with standard office procedures in a law firm environment. Familiarity with legal terminology and procedures pertinent to a Commercial Litigation Practice Group.
