Law Firm Staff brings you up to date and high quality legal staff openings in law firms and in-house legal departments of business organizations. In addition, we help solo attorneys hire experienced personnel from the legal industry. We not only have the best law firm staff positions, but we also have the most. Legal Secretary Duties: Generates, prepares, and organizes documents, summons, complaints, and pleadings; oversees and coordinates court filings, including e-filing, with CA Superior Court and Federal Court as appropriate and/or required, as well as prepare document pleadings for attorney service pick-up. Maintains legal and correspondence files. Prepares professionally written internal and external correspondence to include pleadings, memos, deposition subpoenas, and completion of legal forms. Performs extensive and coordinated calendaring to include deadlines, objections, depositions, trials, MSCs, case management conferences, trial readiness conferences, and final status conferences for up to 3 attorneys. Finalizes Summons/Complaints. Schedules and coordinates court call appearances, depositions, expert witnesses, court reporters, and/or interpreters. Serves notices of depositions to all appropriate parties. Requests payments for witnesses, filing fees, etc. Prepares trial documents as required. Communicates and coordinates with court clerk regarding courtroom procedures; makes on-line reservations to schedule motions, ex-parte applications, stipulations, continuances, etc. Tracks deadlines for discovery, motions, responsive pleadings, objections, meetings, etc. Responds to heavy contact with co-counsel, opposing counsel, and clients (to include doctor appointments). Makes attorney travel arrangements. Qualifications: A.A. or Certificate in Litigation Assistant/Legal Secretary. Certified Legal Professional (CLP) or Professional Legal Secretary (PLS), preferred. 4+ years Litigation Assistant/Legal Secretary experience to include both federal and California court filing experience. Must have complex document production experience as well as effective administrative experience. Must possess excellent interpersonal skills with the ability to communicate with others in a professional and objective manner, in both oral and written form. Must be able to effectively respond to co-workers, management, clients, and vendors and provide feedback in a timely manner. Must be proactive and assertive with effective decision-making skills and abilities. Must be highly organized and able to successfully multi-task utilizing effective time management skills. Must be dependable and able to work scheduled shift on time. Must have a strong sense of urgency to respond to inquiries timely and professionally. Must possess effective and active listening abilities. Is comfortable with change. Ability to work under minimal supervision. Must have high attention to detail along with a high level of accuracy. Must be proficient with Microsoft Office software and ProLaw. Must be able to behave professionally at all times while exercising very high levels of confidentiality and discretion.
