Administrative Assistant Responsibilities: Draft and send out basic report out letters to clients; follow up on formal documents and locate address changes; proofread and redline documents, correspondence and memoranda to ensure accuracy and quality control of copy, grammar, spelling, punctuation, and syntax in final format. Manage calendar and coordinate meetings, including availability of attendees, meeting notification and reminders, conference room and equipment set-up, beverage and meal orders, and preparation of meeting materials. Coordinate travel arrangements, including air, hotel, and car plans for attorney and clients. Coordinate telephone messages and conference calls for attorneys and clients. Input and edit attorney time entries, and confirm appropriate client and matter association. Input attorney expense reports. Coordinate billing including preparation, review and editing of proformas and compilation of appropriate documentation for inclusion with final invoice to clients. Perform a variety of Patent Specialist/Secretarial functions, including processing new client/matters forms and conflicts checks, extensity expense reimbursement and reconciliation, travel diaries, preparation of Reports, Research, tables and Excel documents as requested. UPS labels and large mailing assistance. Set up and maintain firm files and manage disposition of files; assist with file intake and file transfer process. Order references, download, print, save to file site or CD as appropriate; maintain databases.
Qualification and Experience
Requirements: Four year degree or equivalent law firm experience; Paralegal certificate from ABA approved program preferred. Bachelors or better in Other or related field. 1 year: Prior experience as a secretary/administrative assistant supporting multiple professionals; experience as a transactional legal secretary or experience in a law firm or professional services environment is a plus. Ability to accurately type 65 wpm. Ability to maintain client relations with good oral and written communication skills. Ability to establish effective working relationships throughout operational groups. Ability to compose routine correspondence. Must have excellent customer service skills. Maintain confidentiality of client information. Must have sense of urgency relating to client requests and should be able to meet deadlines. Strong work ethic, flexible, dependable, and positive can-do attitude. Should have ability to work in fast-paced environment. Must be a team player, detail oriented and organized, able to work independently, prioritize assignments and multitask. Must be able to work well under pressure of deadlines. Ability to interface with partners, associates, clients, vendors, directors, managers and staff. Skills to coordinate various resources to help others meet their objectives. Ability to communicate effectively orally and in writing.
