Paralegal Responsibilities: Law Department File Room Clerk – Manage legal department compliance by maintaining the legal department file room and review files for destruction as outlined in the Company’s Record Retention guidelines. Create new files for legal matters, insert separator pages, barcodes, add labels to folders, inserting documents in a specific order to folders, and other related tasks necessary for the file room processes. Maintain legal department database of active files and their location. Package files for shipment to the offsite storage facility, labeling and marking the shipments, running manifests and ensuring electronic upload of file information into vendor database. Respond to requests to retrieve documents and files from the law department’s file room and offsite storage facility. Direct requests for information that come to the department from operator or call center. Reroute misdirected mail. Administrative Support: Support attorneys with administrative/secretarial functions as necessary. Special project work as assigned by attorneys, paralegals and secretaries, including research, typing documents, scanning files, uploading electronic documents, photocopying, organizing files, creating binders, etc. Coordinate the electronic invoicing process with Accounts Payable by submitting weekly reports for payment and uploading, from Vision Explorer, Snap-on payments back into the TyMetrix matter management system. Assisting in preparing materials for board meetings, creating name tags, tent cards, participating in page turns. Prepare catering forms and oversee catering for on-site board meetings. Responsible for accurately shipping sensitive board materials to board of director members. Assisting in setting up and taking down materials for on and offsite corporate meetings as needed. Scan and upload minute book documents to Gems system, data entry. Adding new firms to TyMetrix and coordinate with AP and Treasury to add new firms to Ln. Resolve all invoicing issues with vendors. Cross train on annual Record Retention procedures. Notary Public duties. Emergency Evacuation back-up for Zone 4. Ensure Personnel Evacuation record is updated daily. Litigation: Gather requested documents from other Snap-on departments for responding to subpoenas in a timely manner. Review agreement files, upload contracts and agreements. Retain Charitable Donation Agreement files from documents received by Museum Manager of Charitable Contributions and comingle into legal file system. Index and scan visitor agreement forms from receptionist into electronic legal directory. Responsible for litigation hold, sending legal hold memo to associates placed on hold and managing the IT master spreadsheet. Responsible for releasing litigation hold matters, sending release memo and email reminders for mailbox clean-up. Coordinating with IT to copy hard drive and .pst files of termed associates on legal hold. Update Litigation Hold Report monthly. Maintain the Legal Hold external hard drive. Sign for Service of Process when necessary.
Qualification and Experience
Qualifications: Paralegal certification, and will have experience working in an administrative or paralegal role in a law firm or corporate law department. Ability to work in an organized manner carefully handling large volumes of paper documents and multiple tasks. Knowledge of corporate minute book organization. Experience with computerized library systems. Experience in capture/scanning operations. Experience in a legal environment. Good communicator. Professional demeanor. Team player who can take direction and is self-motivated. .Dependable professional. Ability to work on matters of a confidential and sensitive nature. Proficient in the use of a desktop computer, mouse, keyboard, and Microsoft Office suite of products. Accurate typing.
