Paralegal and Assistant to the VP, General Counsel The candidate will report to the Vice President, General Counsel, this role will play a critical role in managing a busy, high functioning legal office, ensuring that day to day operations run smoothly and efficiently, serving as a conduit for information within and across departments, and professionally representing the company and department to diverse external and internal audiences. Will ensure the VP is fully prepared and briefed for each day’s activities and provided with all necessary meeting materials in advance. Assist with organizing and prioritizing critical projects in the Legal Division. Organize litigation preparation, and oversee certain aspects of such preparation. Assist General Counsel with supervision of outside counsel regarding litigation. Research, review and prepare legal and other documents, reports and presentations on various Legal-related topics and data. Develop visually appealing power point presentations and well written summaries. Review and draft routine contracts and other legal documents under the supervision of the department’s attorneys. Prepare and maintain documents and filings to ensure compliance with regulations, laws and deadlines. Provide support, as needed, for departmental initiatives including but not limited to complaint handling, records management, compliance awareness and internal communications. Collaborate on initiatives to monitor changes in laws and regulations at the local, state and federal level. Manage a very busy calendar and workload, working closely and pro-actively across departments to facilitate forward planning and prioritization of meetings and activities. Schedule, organize and coordinate meetings with internal and external parties; prepare meeting notices, reserve meeting rooms, arrange audiovisual equipment and catering when necessary. Review third party subpoenas; determining, based on complexity of legal issues, whether and to which attorney the subpoena should be referred. Provide support to the Board Liaison in organizing and preparing for board meetings. Coordinate and manage budget tracking activities and prepare, execute and track purchase order requisitions and contract requisitions, amendments and extensions. Manage departmental expense submissions and approvals, and prepare expense reports, providing supporting documentation and assuring compliance with T&E policy. Manage departmental time-off calendar; coordinate department supplies and ensure the basic operational needs of the department are met. And may hire, train and supervise temps and interns in the General Counsel office. Undergraduate degree required with 5+ years of relevant experience supporting and interfacing with senior level executives and staff at all levels preferably within a law firm, Paralegal certification with prior experience supporting the work of attorneys.
