Contract Compliance Specialist The candidate will be responsible for the managing and updating the Contract Database. Responsibilities will include researching best practices in the industry to track contracts after execution. Work with internal team members from other departments to gather requirements and create a process to capture, track and communicate critical contract obligations. Help administer contract procedures and ensure that agreed upon contract obligations are being documented and communicated timely. Develop reporting for Risk Management, internal departments, and leaders for tracking various contract obligations and areas of compliance/noncompliance. Provide analysis of “risk†for areas in non-compliance, work with department head or leader to create strategies to mitigate the risk and follow up to ensure compliance. Maintain a database of clients who have special insurance terms in their agreements with WAUSAU and assess/coordinate the issuance of certificates of insurance with our insurance broker. Accountabilities: Partner with The VP of Contracts to help administer contract procedures and ensure that agreed upon contract obligations are being documented within the database. Communicate to appropriate internal staff regarding approved contract obligations to ensure contract compliance. Provide quarterly reporting to Risk Management to highlight areas of non-compliance across the company. Work with Vendor Management to review current processes to control our vendor contracts. Seek out opportunities to include vendor contracts within database and provide communication to the appropriate internal staff. Respond to internal questions regarding contract interpretation, conditions or compliance with legal requirements. Will need to interpret language and engage legal department as needed to respond properly. Provide monthly reporting for internal departments to track various contract obligations. Follow up with department heads regarding their team’s compliance and upon mutual agreement create timelines and strategies for areas in noncompliance. Review agreement terms when a client requests that WAUSAU adds them as an additional insured, waive subrogation, notify them of cancellation/non-renewal to determine if their agreements require WAUSAU to comply with the client’s request. Work with Controller and/or Legal Team to obtain approvals and/or address corporate insurance deficiencies for executed client agreement insurance terms compliance. Administer the Accounts Payable new vendor setup process. Update Vendor Management records as directed by VMO manager.
Qualification and Experience
The candidate should have Bachelors degree (or equivalent experience) in Finance, Business Administration. Should have 3+ years of experience in project/contract management, business administration preferred. Communication skills both written and verbal, along with demonstrated negotiation and analytical skills are critical. Strong computer skills in Microsoft Word, Excel and Access. Paralegal or Background with Business Law preferred. Knowledge of Document Management Systems (DMS) preferred.
