Legal Assistant Matter Management Administrator Duties: Independently and with minimal oversight administer and maintain Legal Matter Management, corporate entity searches and other databases for the Legal Department, including attorneys, paralegals and risk management personnel. Will also include high level A/P as well as some insurance responsibility. Maintain all aspects of the Serengeti Tracker Legal Matter Management System. Work with outside law firms regarding all facets of electronic billing including initial set up and timekeeper/administrator maintenance. Process legal fees for payment through corporate A/P department. Create and maintain ad hoc custom reports using Serengeti Tracker report writing software. Create and maintain auditing reports to ensure accuracy of the Matter Management Software. Maintain and administer corporate records searches using the Diligence database. Provide administrative back-up for the Company’s corporate records hCue database. Provide general administrative assistance to the Legal Department. Interface with Accounting/Finance on all legal spend issues. Assist Director of A/P with special projects. Assist A/P with verification data for 1099 processing, ACH payment program. Backup to Assistant Treasurer for issuance of certificates of insurance. Prepare correspondence, including letters, memos, agendas, reports and charts as needed. Other duties as assigned.
Qualification and Experience
Requirements: Associates degree at minimum. Bachelor’s degree a plus. 5+ years working with A/P. 5+ years in database administration. 5+ years with report writing software. Ability to work occasional flexible hours, as needed. Business or accounting experience would be a plus. Experience in report writing. Extensive experience with the Serengeti Tracker Legal Matter Management system. Advanced computer skills in Excel and Outlook. Proficient at PowerPoint and Word. Familiarity with Origami, Diligence and hCue software systems would be a plus. Ability to prioritize and multi-task. Excellent verbal and written communication skills. Comfortable working with technology and communication systems. Strong organizational skills with a high attention to detail. Must exercise discretion and handle confidential information. Ability to maintain a professional demeanor in a fast paced environment. Ability to communicate positively and interact with individuals at all levels of the organization.
