Senior Administrator Legal Duties: Provide administrative and secretarial support to Staff and assigned attorneys (including travel, expense reports, scheduling & coordinating meetings, etc.). Organize and coordinate schedules for management and various visitors including trainees from Japan. Assist Japan Staff and their family members with relocation matters. Prepare materials and PowerPoint presentations. Execute a wide variety of tasks involving Japanese-English translation and correspondence. Handle phone calls in English and Japanese. Set up vendor accounts through Accounts Payable and process various invoices via check request and/or Corporation's global netting program. Process invoices in North America financial systems & matter management system. Assist in developing and tracking budgets for Legal One department IDs as well as matter budgets. Create & update matters in matter management system. Maintain corporate records for various North American entities, including board and shareholder actions and meetings. Support transactional lawyers with respect to various paralegal tasks, as assigned.
Qualification and Experience
Qualifications: Bachelor’s degree and/or paralegal Certificate. 2+ years paralegal experience. 2+ years of Administrative Assistant experience. Ability to read, write and speak Japanese and English fluently. Ability to translate Japanese to English and English to Japanese. Good understanding of Japanese-American cross-cultural differences. Proficiency in Excel, PowerPoint and Word. Ability to work effectively with senior executives and VIP visitors using diplomacy, tact, and discretion. Proven ability to multitask and prioritize tasks with minimal supervision required. Excellent communication and customer service and skills desired.
