Legal Assistant - CVG Legal Duties: Provide administrative support to the Vice President and Chief Counsel for the Medtronic Cardiovascular Group (CVG), for the CVG Legal team and the Vice President of CVG Ethics and Compliance. Perform complex and diverse administrative duties independently. Work on assignments that are extremely complex in nature, and will lead daily operations for the administrative aspects of CVG Legal. Routinely perform a variety of complex or technical administrative support duties, often without established procedures and always showing a high degree of initiative. . Complex scheduling responsibilities including webex, videoconferences and complicated meetings. Global travel planning. Interaction with high level internal and external contacts and exposure to high level Confidential Information. Cost center management including participation in the budget forecasting process, as well as routine budget management including resolving discrepancies between forecast and actual expenditures. Monitor expenditures and process invoices . Frequent use and advanced expertise of Word processing, spreadsheet and graphics presentation applications, electronic meeting/calendar coordination, travel planning, and budget/cost center management. Arrange regular weekly, monthly, and quarterly department meetings, group meetings, special events and annual events . Develop complex graphics presentations using a variety of tools, including PowerPoint and Visio. All activities must be performed in compliance with the local Quality System. Performs duties in compliance with environmental, health and safety related site rules, policies or governmental regulations. All other duties as assigned.
Qualification and Experience
Requirements: High School Diploma. 10+ years' administrative support experience, with 6 years in a legal environment. Experience with all aspects of MS Office Suite of programs. Nice to Have: Bachelor’s Degree. Advanced expertise in Microsoft Office—word processing, spreadsheets, database and graphics presentation applications. Experience coordinating multiple complex calendars. Experience working with a virtual team, including videoconference capabilities. Experience with passport (Matter Management) - legal software system. Experience with Expense Express and MYTrip software programs. Power user of Webex and other tools used by virtual teams. Comfortable working in a fast-paced environment with a high rate of change. Experience working in a highly matrixed organization. Demonstrated creative problem solver. Strong organizational skills. Ability to work effectively as a member of a team and establish and maintain cooperative working relationships. Ability to exercise flexibility, initiative, good judgment and discretion. Detail oriented. Self-motivated and willing to work independently. Ability to handle sensitive information with tact and confidentiality. An experienced, organized, proactive individual who acts with considerable tact, diplomacy and judgment. Excellent communication skills will be critical to success in this role, as will excellent organizational and prioritization abilities.
