Legal Administrative Assistant / Senior Duties: Support business counseling attorneys and other support staff such as Senior paralegals. Will be responsible for providing legal secretarial and administrative support to Legal Department staff. Manages calendars and assists in meeting deadlines. Coordinates and schedules meetings, appointments, and conference calls. Register for CLEs and webinars. Maintain attorney CLE transcripts and file with Supreme Court. Coordinates and arranges travel needs and creates travel itinerary Prepares and submits expense reports and check requests Prepares and submits departmental reports. Prepares and maintains financial tracking documentation. Draft and prepare mail, correspondence, memos and emails Performs a wide range of clerical duties, for example: composing and typing routine correspondence, transcribing dictation, reading and routing mail, answering phones, providing information to callers, maintaining indexing and filing systems, scanning and copying documents. Becomes familiar with applicable company policies. Sets up, maintains, transmits, routes and closes legal files. Maintains filing system for correspondence and other legal documents. Understands the managed care/health insurance industry. Knowledge of Medicare/Medicaid is a plus. Prepares correspondence and works on other documents such as: contracts, other agreements, policies and procedures, member and provider materials, and regulatory filings. Understands administrative and court proceedings as well as the process of compiling legal cases. May work on documents such as summonses, complaints, motions, subpoenas, and interrogatories. Utilizes the department's matter management system on a regular basis to create, maintain and close legal department matters which may include for example: business counseling, regulatory, litigation, pre-litigation, arbitration and administrative matters. Assists in legal research. Assists and serves as back-up to other Legal Secretaries. Other duties as assigned.
Qualification and Experience
Qualifications: Legal Administrative Assistant: A high school diploma; 1 year of experience; or any combination of education and experience, which would provide an equivalent background. Legal Administrative Assistant Senior: A high school diploma; 3 years of related experience; or any combination of education and experience, which would provide an equivalent background. Previous experience in a legal environment preferred. Paralegal certification preferred. Requires strong organizational skills, the ability to manage multiple assignments in a timely manner, working well in a team environment, and being action oriented. Candidate must exhibit strong problem solving skills. Will utilize document, matter management and other systems as applicable in the performance of their job duties.
