Criminal Court Legal Assistant Duties: Under minimal supervision, provides legal secretarial assistance to assigned legal staff. Prepares and processes new cases for review. Prepares subpoenas, monitors and updates subpoena tracking system. Enters updates and retrieves information using multiple systems and databases. Collects, organizes and prepares files and materials for attorneys use in court appearances or transacting other legal business. Schedules appointments and maintains calendars. Acts as a liaison between attorneys, courts, witnesses, law enforcement agencies, other agencies and the public. Assists and attends court hearings, depositions, and meetings with attorney as needed. Arranges for proper waiting locations for witnesses, greets, supports and updates all witnesses needed for trial. Provides administrative support to include but not limited to, running errands, stamping files, filing, answering telephones, faxing, creating communications and making copies. Reviews dockets to prepare paperwork for court, such as First Appearance Docket, Announcement docket, Jail Call, Designation of Attorneys, Sentencing, DWI Drug Court, Motion to Revoke, and Plea Dockets. Enters updates and retrieves information using multiple systems and databases. Utilizes a computer to process, retrieve, and disseminate information and documents including word processing functions for letters, memoranda and legal documents. Assists attorneys in court and helps maintain court dockets and calendars. Supports, cross-trains and assists in other courts as needed. Routinely communicates with court personnel in regards to upcoming case settings and case management. Drafts required legal forms and notices as needed. Organizes copies, prepares, and creates a prosecutor case and inputs data into the system. Generates workflow intake sheet and distributes to appropriate prosecutor for review. Submits electronically reports to TX Department of Public Safety and CJIS. Inputs cases sent up on appeal from Municipal and/or Justice of the Peace courts. Requests case reports from the appropriate agencies and enters all cases in the computer. Prepares case files to be sent to District Attorney’s office. Processes declined cases and refiled cases. Receives media & documentary evidence from external agencies & internal staff. Assists law enforcement agencies with receipt of media evidence. Accesses law enforcement databases to acquire various reports and documents as needed for filing of criminal cases. Assists in preparation of witness subpoenas at the direction of Assistant County Attorneys. Monitors and updates web-based subpoena tracking system as directed. Ensures all case documents received are appropriately attached and labeled in the case database. Identifies upcoming events that require attorney review and ensures the appropriate Assistant County Attorney is aware of the event. Identifies tasks that are outside the scope of their experience and notifies appropriate Assistant County Attorney to receive direction. Provides administrative support including running errands, stamping files, filing, answering telephones, faxing, creating communications and making copies. Provides excellent customer service when greeting visitors and answering main switchboard phone, determines nature of business, provides general information, and directs guests to appropriate destination. Oversees defendants watching “Jacqueline†videos and giving out receipt to defendant for viewing video. Enters video receipts once video is paid and picked up by defense attorney. Communicates frequent with County personnel, Attorneys, law enforcement agencies and the public. Readily complies with departmental and county-wide policies and procedures. Performs related special projects as assigned.
Qualification and Experience
QUALIFICATIONS: High school diploma or equivalent. Ability to work effectively with co-workers, employees and supervisors in a pleasant, professional manner. Strong organizational skills and proven ability to maintain accurate and detailed records. Able to work under pressure in a high volume office, produce accurate work and meet established deadlines. Proven knowledge and experience with system software such as Oracle, Microsoft Excel, 10 key calculators by touch, fax and copy machines. Ability to type and enter data with appropriate speed and efficiency. Excellent interpersonal, oral and written communication skills. PREFERRED: Associates degree in Legal Secretarial Science, Paralegal Studies, Criminal Justice, Public Administration, Business Administration or a directly related field. 2 years of advanced secretarial experience. 1 year as a Legal Secretary. 6 months of paralegal experience or related field. Data entry efficiency at 55 wpm. Bilingual (Spanish).
