Legal Assistant IV, Team Lead Corporate Legal Regulatory DUTIES: Providing direct administrative support to multiple attorneys and/or paralegals in the Shared Functions legal organization. Serve as a team lead for a group of legal assistants who provide administrative services to the Corporate Legal Regulatory team. Responsible for working with Shared Functions management to ensure that legal assistant resources are deployed appropriately. Responsible for sharing tasks among legal assistant team members, and reviewing work product and processes. Provide input to people management decisions and will provide work direction. Perform complex and diverse administrative duties independently. It therefore requires an experienced, organized, proactive individual who acts with considerable tact, diplomacy and judgment and is confident in abilities. Work with other team members and SF management to ensure that legal assistant resources are deployed effectively. Review work product and processes of legal assistant team. Provide input to people management decisions in relevant area. Perform various administrative duties including setting up files, working in various Medtronic systems, making travel arrangements in the US and OUS, Internet/Intranet research, scheduling meetings, photocopying and scanning documents, managing calendars, and preparing expense reports. Create high level graphic presentations using PowerPoint and other tools. Maintain complex calendars and scheduling. Identify issues in correspondence, documents and telephone calls that require action and execute appropriate solution or refer to appropriate individual. Answer telephones for attorneys and paralegals (including rollover calls from the law department), take messages, transfer calls, and answer routine questions. Process invoices and check requests as needed. Interface with business clients, outside counsel and government officials, senior management teams. Plan and arrange video conferences and WebEx meetings. Manage confidential information. All activities must be performed in compliance with the local Quality System. Performs duties in compliance with environmental, health and safety related site rules, policies or governmental regulations. All other duties as assigned.
Qualification and Experience
QUALIFICATIONS: High School Diploma or GED. 6+ years administrative support experience, with at least 6 years in a legal environment. Experience with MS Office Suite of programs. DESIRED: Bachelor’s Degree. People management/team lead experience. Substantial word processing skills and advanced PowerPoint skills. Exceptional oral and written communications skills. Ability to maintain composure in high demand situations. Strong organizational skills. Ability to work accurately under pressure of deadlines with frequent interruptions. Ability to work effectively as a member of a team and establish and maintain cooperative working relationships. Ability to exercise flexibility, initiative, good judgment and discretion. Ability to prioritize and manage multiple tasks independently, and to adapt to changing priorities. Detail oriented.. Resourceful. Self-motivated and willing to work independently when necessary. Ability to handle sensitive information with tact and confidentiality. Professional telephone skills and etiquette. Project management and problem-solving skills. Excellent communication skills and the ability to be effective in leading peers will be critical to success in this role, as will solid organizational and prioritization abilities.
