Loan Operations Specialist Duties: responsible for complex non-routine tasks and exercising significant independent judgment and discretion in the performance of duties in support of activities within the Loan Operations Department. Responsible for specialized research to resolve unique issues and gather information/files to support processing of loans, preparation, delivery and completion of loan packages and/or maintenance requests according to bank, regulatory and investor guidelines. Exceed standards and performance goals for productivity and error ratios. Maintains productive relationships with key internal partners and serves as an expert and authority in the area of bank policy and state/federal regulatory compliance. Assists the supervisor in training new teammates and validates work of other less experienced team members. Also assists the supervisor in coordinating daily workflow. Analyzes and recommends changes to systems and operational procedures to insure departmental service levels are met. Provide a superior and enthusiastic level of customer service to branch staff on various loan account maintenance, setting-up new loan accounts, and assisting with any issues related to Core loan system. Respond to all internal/external customer inquiries and ensure timely response and resolution of customer issues; maintains knowledge of internal resources to mitigate disruption of services to customers; communicate recurring or serious issues to management. Recommend viable solutions to improve customer service and response. Ensure that existing financial institution policies and procedures are executed properly and continuously expand knowledge of policies, procedures, regulations, and industry best practices through on-going training. Work closely with loan production officers, attorneys, and other bank department managers to promote communication, and to ensure quality service delivery throughout the bank, as well as with external customers. Process various transactions, inclusive of: general ledger entries, loan payments, escrow disbursements, etc. Research and resolve loan customer service inquiries. Reconcile and maintain various audit reports. Track collateral, follow for insurance and document exceptions. Support loan documentation processing through origination platform and imaging archive systems. Conduct reviews of loans and modifications and confirm for receipt, accuracy, and completion of documents. Identify, track, and resolve documents that are missing and/or incorrect. Follow-up and support collateral insurance processing and placement. Maintain relationship between insurance processor and bank along with supporting documents to include flood zone tracking. Utilize checklists to insure receipt and input of vital loan data and information. Follow-up for corrections where required. Insure proper steps are taken to perfect the bank’s security interest for all collateral pledged for loans (UCCs, Deeds of Trust, vehicle titles, etc.). Review title searches to assure credit quality standards are maintained. Identify and communicate any deficiencies to proper team members and follow through to resolution. Support various payments processing activities such as set-up of new ACH draft accounts and posting of payments. Maintain appropriate reports to insure timely and accurate application of payments and resolve discrepancies. Update tickler status from loan officers upon proper receipt and verification of required documentation. Insure proper reporting is maintained through charge-off processing, ORE’s, risk grades, non-accrual status, change codes, and quarterly late fee waivers. Code loans to reflect specific criteria (i.e. Subprime/Not Subprime, Traditional/Not Traditional., etc.) and FRB Coding / Product codes. Key and verify loan information such as terms and conditions, census track data, etc. in support of new loans, loan modifications, deferrals and maintenance. Insure appropriate regulatory and legal compliance status for all information processed and negotiated. Balance monetary transactions such as payment reversals, payoff checks, accrual adjustments and fee waivers. Research credit disputes responding to credit bureaus and banking network within Fair Credit Reporting Act and Federal Trade Commission compliance regulations.

Qualification and Experience

Requirements: High School Diploma or equivalent is required. knowledge of banking regulations, policies and procedures, to include loan processing, product functionality, and loan system interfaces. Prior experience with loan products and loan services offered by banks. Excellent written and verbal communications skills as well as organizational skills are required. Direct experience with Yadkin Bank systems and products or exposure to Fiserv Core systems and Applications. Additional courses in accounting, finance, and business law or other applicable courses through the NCBA. Some college experience. 2 years of loan servicing or loan document preparation experience is required. Previous experience in accounting and/or bookkeeping functions. Preferred: Banking experience as teller, CSR or other branch function; lender, lending assistant or underwriter. Background as a Paralegal or Title Insurance Specialist. Experience with common Core systems such as Fiserv Signature and EZ Lender document preparation software. Required: Experience and expertise with banking industry processes, procedures, and workflow. Strong analytical skills and ability to recommend creative solutions in response to solving challenging problems and help improve departmental performance where needed. Ability to recognize key issues and focus on decision process while understanding impact to other departments and individuals. Must be capable of exercising discretion when necessary, manage multiple priorities, and possess strong organizational skills. Experience with data management and expert PC skills with emphasis on Microsoft Word and Excel. Must be a team player, have the ability to work under pressure, and be able to solve conflicts. Ability to think like a customer. Self-starter with good time management skills. Solid working knowledge of banking industry practices relative to Loan Operations. Ability to become proficient in use of various and key industry-specific software packages. Specific knowledge of outsourced banking Core systems. Loan systems and/or application knowledge. Demonstrate a working knowledge of the loan accounting system and reconcile debit/credit transactions as they apply to business and retail loans. Maintain and demonstrate proficiency with loan software. Work with system providers to utilize applications to fullest capacity, streamlining processes and procedures, ensuring accuracy and compliance. Adhere to confidentiality policy, code of ethics and follow all policies and procedures relative to Consumer Compliance and Bank Secrecy Act laws and regulations and best practice recommendations. Maintain in-depth knowledge of bank products, services, department procedures and policies, and regulations to ensure accurate handling of client inquiries. Demonstrate an in-depth knowledge of consumer and commercial loan transactions, including compliance, documentation, preparation of loan documents, booking and servicing.
