Legal Assistant Duties: Provide assistance to CLO of global design firm. Prepare drafts of contracts and analyze requirements, provisions, and terms and conditions to ensure compliance with corporate policies. Manage competing priorities accurately and efficiently; handling variety of complex, time sensitive and confidential situations. Serve as conscientious, dependable and detail-oriented team player. Represent culture, philosophy and brand by assisting others in a client-centric, courteous and professional manner. Prepare and track contracts for review; maintain updates to AIA contract software and templates. Annual review and certification to school districts regarding background checks. Coordinate other required background checks (e.g. TBAE) and maintain DPS account. Obtain current copy of consultant insurance certificate and verify required limits. Provide insurance certificates to clients and answer requests. Maintain company registrations with SOS, boards, County and City registrations. Maintain County and City vendor registrations and qualifications as needed. Research health and safety information as needed for international due diligence. Coordinate various events and presentations such as: biennial FCPA presentation, annual harassment seminar, annual Errors and Omissions (E&O) seminar, biennial California supervisory training. Southwest Airlines background checks and badging. Annual Conflict of Interest Survey. Quarterly review of Federal Project Exclusion List. Research topics and prepare memos (e.g. Architect Registration time, Bill 1048, Disaster Recovery). Prepare project files and records for review as required by subpoena. Corgan employee non-disclosure agreements (NDAs). Maintain claim history and track issues. Maintain international records and certifications. Maintain stock agreements. Prepare annual Affirmative Action Plan and Equal Employment Opportunity reports; submit as required. Coordinate individual registrations in new states. Complete and submit vendor prequalification registrations. Respond to Marketing questions regarding RFP’s. File, maintain and track corporate documents, legal files and post updates to corporate intranet as required. Update corporate organizational chart and post to intranet on a quarterly basis.
Qualification and Experience
Qualifications: Bachelor’s degree or combination of college degree and equivalent experience. 2+ years of experience in legal assistant role; paralegal certification preferred. Mastery of MS Office required; Salesforce or other CRM experience preferred. Proficiency in word processing, typing speed of 70+ wpm and strong proofreading skills. Experience providing client-centric quality service; building relationships with internal and external clients. Ability to maintain accurate, detailed and confidential records. Ability to communicate effectively both verbally and in writing; strong time management skills.
