Legal Assistant Duties: Under direct supervision, provides administrative, clerical and secretarial support to the General Counsel and Legal Department professionals based in the headquarters office. Assist attorneys and Legal Department personnel in handling of a variety of legal and risk management tasks. Create and maintain files. Coordinate travel arrangements for legal staff. Order and maintain office supplies. Letter and document preparation. Prepare, serve and file documents with courts and governmental agencies. Liaison with Information Technologies relative to computer issues for the professional staff. Maintain a master record of all legal compliance activity. Prepare Excel, Word and PowerPoint documents. Assist in special projects, as needed. Answer telephone, screen and route calls, take messages. Prepare expense reports for employee reimbursement for the legal staff. Process payments and request for payments for outside counsel fees. Administer calendars, schedule appointments, and coordinate meetings. Proofread and format various reports, agreements, and other documents, as necessary. Distribute mail to legal department. Prepare check requests/obtain checks for legal department professionals. Deliver and/or arrange for delivery of subpoenas. Assist with internet research/reviews to determine possible trademark infringement/brand abuse. Preparation of supporting documentation for cease and desist letters. Assist in sending out standard cease and desist letters. Process and code vendor invoices. Perform other job functions as assigned.
Qualification and Experience
Qualifications: Bachelor of Arts degree strongly preferred. 3-5 years of administrative experience, preferably in a law firm, corporate law department or other professional setting. Expert skills in Word, Excel and PowerPoint. Excellent computer skills, including high typing speed. Excellent organizational and oral and written communication skills. Ability to work in a flexible, multi-cultural environment. Excellent time management skills. Good judgment and discretion with highly confidential information. Must be able to multi-task.
