Legal Coordinator/Administrative Assistant Duties: Manage and support active desk for three to four attorneys. Manage relationships and communication flow between internal and external clients on behalf of the attorneys in a highly confidential manner. Facilitate meeting requests, document organization including regularly monitor two additional email accounts and telephone line which serves as a communication channel to hotels. Answer/screen incoming telephone calls and respond appropriately Maintain calendars, schedule meetings, post reminders of scheduled meetings and events and proactively prepare the materials for meetings independently. Draft letters, run reports and retrieve documents and review for accuracy. Manage travel arrangements (domestic and international), prepare trip itineraries. Processing department bills, expense reports and outside counsel retention letters and invoices. Maintain confidential contact lists and CLE requirements for Attorneys. Review form contracts/assist with vendor contract process and maintenance. Work with other administrative assistants re: general office matters, ordering supplies, office coverage, etc.
Qualification and Experience
Qualifications: Some college coursework or 4-year degree preferred. 3 years in an administrative capacity, legal field experience preferred. Experience with drafting contracts is preferred. Proficient in Microsoft Office Suite, SharePoint Moderate to advanced Microsoft Word, Excel and PowerPoint skills, Microsoft Outlook experience preferred. Ability to manage multiple projects using time management and prioritization skills. Strong communication skills required.
