Legal Assistant/Licensing Specialist Duties: Provide administrative support and successfully perform routine administrative tasks on a daily basis. Ensures compliance with all applicable regulations to maintain licenses for all Flatiron entities. Manage the license tracking in CSC system. Maintain licensing related records. Obtain, track and maintain Secretary of State registrations for all Flatiron entities. Track and maintain Board of Contractor licenses for all Flatiron entities. Creates, formats and generates monthly licensing reports from tracking system. Works closely with in-house legal team to provide administrative support. Drafting presentations and spreadsheets, redlining documents, transcribing edits, meeting preparations, meeting minutes, preparing expense reports, preparing check requests, and other administrative support as assigned.

Qualification and Experience

Qualifications: Associate’s degree, or an equivalent combination of education and experience. 3+ years’ experience in a corporate legal department, compliance department, risk management department or law firm. Working closely with in-house legal team to organize, track and manage legal files stored in office, on shared network drive, intranet, box and other locations. Any other projects or assignments that may be assigned by the legal in-house team. Broad knowledge of federal, state and local rules and regulations governing licensing (construction industry knowledge a plus). Colorado State Notary is preferred. Knowledge of legal terminology is required. Keen attention to detail and ability to manage multiple priorities, well organized and demonstrated track record of working ahead of deadlines. Good oral and writing skills, ability to communicate effectively and to produce correspondence or e-mails in a form and style appropriate to their intended audiences. High initiative, sound judgment, results-oriented, and the ability to work in a team environment. Ability to use discretion and maintain confidentiality. Must be able to be productive in an open office environment. Team player and self-starter. Highly proficient in MS Office Suite (Word/Outlook/Excel/PowerPoint) and Adobe Acrobat. An ability to learn new systems, such as SharePoint or CSC. Reports to Legal, VP and Corporate Counsel.
