Information And Event Assistant Duties: Under direct supervision and according to established policies and procedures, the Information and Event Assistant performs all functions related to facilitating communications internally and externally by being the first point of contact for office visitors and callers, facilitating in-office and interoffice meetings and conferences, and assisting various office personnel with necessary information gathering tasks. Performs a variety of legal administrative assistant duties for attorney(s) to whom assigned. Provides backup support to legal administrative assistants where feasible. Observes confidentiality of clients and firm matters. Employee must perform all duties with minimal supervision. Greets and announces clients and visitors to the law office and ensures proper clearance and routing of such parties; notifies supervisor of difficult situations. Receives, records, and transmits information from telephone callers to attorneys or staff as appropriate through operating a multi-line telephone console. Coordinates the use of conference rooms, and other office resources, including: Schedules conference rooms for in-person meetings and video conferences. Distributes a weekly schedule to staff personnel. Maintains the neatness of the conference rooms; keeps supplies stocked. Coordinates meeting catering and conference room set-up, communicating with staff, attorneys, and outside vendors where necessary. Manages supply inventory, including ordering and restocking of all supplies for the office. Keeps lobby, reception area, kitchens, and all other common areas clean. Receives, records, and internally routes office deliveries appropriately. Coordinates courier run deliveries and outgoing mail packages as needed. Provides support for Office Administrator in coding invoices, sending office updates from property manager, organizing office social events, and other office operations management tasks. Prepares correspondence, memoranda and other legal documents from written and oral drafts; drafts standard correspondence, and other documents. Performs other duties as assigned, including assisting with PowerPoint presentations, word processing, overflow typing, time entry, large mailings, coordinating travel, and other over flow projects as needed.
Qualification and Experience
Qualifications: Able yo perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent. 1-2 years on the job experience necessary in order to gain an understanding of the law office policies and procedures and produce accurate legal documents with minimal supervision. Previous experience with corporate transactions preferred. Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters.. Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 65 wpm. Interpersonal skills necessary in order to communicate by telephone and in person with visitors, attorneys, and staff; provide information with extraordinary courtesy and tact, and to convey the personality of the firm and office to individuals making their initial contact with the office. Work occasionally requires a high level of mental effort and strain when answering a high volume of telephone calls and performing a variety of essential duties. Ability to handle telephone calls and visitors, lift small delivery packages, operate telephone equipment, and record messages.
