Profile

Business Development Coordinator Duties: Provides support for marketing materials, events, biographies, pitches, proposals, and other marketing activities as required. Works closely with the Business Development Manager (BDM) in Washington, D.C. Workflow Systems: Help communicate and maintain standardized marketing processes and procedures for lawyers served by the BDC and BDM to streamline BD activity and workflow. Tracking BD Projects: Track BD project calendar and progress (including responding to requests from attorneys.). Web Maintenance: Assist with identifying and uploading content for regular website maintenance for designated practices and respond to attorney requests related to website. Marketing Materials: Design, in conjunction with new InDesign users throughout the Firm, new marketing collateral. Assist branding team in design of new brochures. Maintain a library of existing marketing materials including practice profiles, PAGs, placemats, proposals, PowerPoint presentations, and other custom materials. Conduct regular reviews of marketing materials specifically PAGs for needed updates including for matters and accolades. Experience Database: Gather and centralize matters in Content Pilot for use in pitches, proposals, and marketing materials. Maintain standardized and uniform protocol for entry of information into the database so that searches capture all experience. Submissions and Rankings: Coordinate and help compile submissions related to legal directories and awards. Maintain database of references for submission purposes. Coordinate with PR to maintain spreadsheet of rankings and quotes for relevant attorneys and practices. Track submissions deadlines. Event Support/Coordination: Use project management skills to organize K&S hosted events including meetings, seminars, receptions, dinners, etc.; coordinate development of invitations with marketing design and technology staff; reserve meeting space and order catering; reserve A/V or other needed technology/equipment; provide or develop event-specific materials as needed; order branded items; track and distribute RSVP lists to stakeholders; provide name badges; assist with creation of PowerPoint slides and handouts. Help lawyers execute a custom follow-up plan for each event. Assist with coordinating debrief/post-mortem of each event to identify wins/lessons learned and assist with implementing any necessary changes identified in the events process. Assist with gathering information post-event that could inform an ROI analysis (any new matters obtained as a result of the event). Marketing Inventory: Track inventory of relevant printed marketing materials and promotional items for designated practices in the WDC office and in other offices. Public Relations: Coordinate with PR on releases and postings of newsworthy matters including accolades, quotes, articles, and speeches. Research new speaking opportunities (solicited and unsolicited) for attorneys. Market Research: Conduct competitive intelligence, internal firm research and/or market research for lawyers on competitors, industry or market trends to aid lawyers in the development of marketing plans, presentations, proposals or in advance of attending conferences. Conference Sponsorships: Provide support for sponsorships and coordinate all activities involved with sponsorships such as processing payments, providing logos, shipping booths and materials, setting up booths (if necessary), ordering give-away items, and other needed activities, including attendance, as needed. Coordinate follow-up for K&S conference attendees with contacts made at the conference and any other follow-up needed to maximize sponsorship. Help track ROI for sponsorships. Research new sponsorship opportunities. Interaction Mailing Lists: Clean and manage mailing lists in Interaction, as necessary; work with lawyers and LPAs to ensure information is current for client contacts. Analyze information related to mailing acceptance rates, open rates, etc. Pitches/RFPs: Assist with preparing pitches and RFPs, as needed; process edits, gather existing materials, e.g., bios, practice profiles, placemats Practices-at-a-Glance, and precedent content, and oversee final production of electronic and hardcopy deliverables to meet deadlines; maintain pitch/RFP files, add to pitch tracking spreadsheet, and seek periodic outcome updates from lawyers. Conduct research related to prospective clients seeking proposals/pitches. Lawyer Biographies: Assist with facilitating updates to existing bios and track to ensure request was completed. Client Alerts: Assist in ensuring that lawyers have approval from the lists that they would like to use, that they have considered conflicts issues and that they provide notice to Marketing Technology Department regarding upcoming alert. BD Analysis: assist BDM in analyzing how past matters were attained (lead sources, lead development) communicating trends to attorneys in designated practices groups, and identifying case studies to use in BD training for attorneys at all levels.

Qualification and Experience

Requirements: Bachelor’s degree required. 2-3 years of marketing and/or business development experience preferred. Law firm and/or professional service experience preferred. Extensive experience and proficiency in Excel, CRMs (preferably Interaction), Word and PowerPoint. Adobe InDesign experience desired. Acute attention to detail, superb organizational and project tracking skills, ability to handle multiple projects at once and working according to expressed priorities, time management skills and service-oriented attitude. Ability to take direction from and execute marketing strategy outlined by BDM. Ability to be discreet with highly sensitive matters. Demonstrates continuous self-improvement including in response to constructive feedback. Excellent interpersonal skills with an ability to work as part of a team and to communicate clearly with marketing and BD teams, and with a diverse group of clients, lawyers and staff. Basic knowledge of marketing and business development. Ability/aptitude to learn new computer skills. Excellent editing and proofreading skills. Ability to write effective letters, memos and emails to communicate with internal and external clients and vendors. Ability to follow/enforce the Firm’s brand standards and marketing and Firm policies. Ability to work overtime as needed.
