Benefits Specialist Responsibilities: Assist with annual review process of the US benefits plans. Provide eligibility and earnings file to brokers for calculation of benefit, new rates, and new plan designs. Utilize the Firm’s benefits technology and HRIS to validate eligibility, enrollments, changes, and reporting to HRIS/Payroll and external vendors. Ensure proper support documentation is received for status changes, new hires, terminations, retirees, student status verifications, etc. Support Partner Resources Department in the delivery and communication of Partner benefits, including the distribution of benefit election materials for US and non-US Partners. Direct LTD and Life Insurance brokers/consultants to obtain and distribute enrollment packages to Partners. Assist Partners with adjudication of health claims. Communicate with benefit provider contacts to quickly resolve issues and escalate as appropriate. Perform benefits orientation for all US employees on a weekly basis; assisting with benefits onboarding and questions about eligibility, contributions, and benefit plan options. Participate in the annual Open Enrollment process by testing the system, validating benefit changes in the system, verifying new contributions, and ensuring new elections are processed and sent to vendors on time. Prepare Open Enrollment materials for distribution, printing, copying and mailing to Retirees, LTD and LOA recipients. Work with Manila in the administration of certain US benefits programs, such as health savings accounts, Firm retirement plan contributions, dependent student verifications, family status event qualifications, and personal excess liability plans. Assist Wellness Manager with globalization of the Firm’s wellness program including identifying and vetting viable wellness related goods and service providers as well as in the communication of wellness activities and events. Administer the US discount health club membership program, including: facilitating contract renewals, updating enrollment kit for each office, setting up benefit deductions with Payroll and assist the 150 current members with the annual re-enrollment process. Track the Incentive Rewards Program by receiving and maintaining the participation reports from the Firm’s wellness vendor, processing fulfillment request with rewards vendor, assisting employees with memberships and responding to questions regarding the program. Assist in the coordination of monthly, quarterly and annual wellness events, such as biometric screenings, flu vaccinations, financial seminars and nutritional counseling in all US offices. Organize and promote wellbeing challenges. Support the Firm’s onsite health and fitness center providers in the NY and Tampa offices. Maintain annual wellness events calendar by location. Prepare and distribute the biweekly Global Benefits email to all US offices about ongoing benefit and wellness programs, seminars and other activities with content localized per office as well as other US compliance communications. Update the Wellness webpage on the Firm’s intranet, including drafting specific announcements for each office’s home page. Monitor Global Benefits mailbox daily and promptly and accurately respond to inquiries. Prepare responses to benefit/wellness surveys. Keep abreast of changing benefits and wellness legislation and market practice, with a focus on law firm industry trends. Assist with special projects as needed.
Qualification and Experience
Education/Qualifications: Bachelor’s degree or equivalent work experience is essential. GBA or CEBS Certification a plus. Should have working knowledge of benefits and wellness administration which includes the day to day operations of medical, dental, vision, life and LTD plans; voluntary benefits as well as wellness and health incentive programs. Must have 5+ years of benefits and/or wellness generalist experience.
