Administrative Assistant Duties: Serve as an Administrative Assistant for Trust Company in all aspects of administration of trusts, estates, investment agency and custody accounts for the firm. Coordinate account activity, including, receipts and disbursements related to assets and beneficiary needs, opening, funding, and closing accounts and facilitating charitable and non-charitable gifts while ensuring accuracy, timeliness and adherence to appropriate regulations. Assist clients in handling routing and non-routine transactions, including client bill paying, account maintenance, insurance matters, gifting programs, collection of annual fees and other tasks, as directed. Monitor cash levels in accounts to ensure that client needs of accounts assigned can be met at all times. Assist in the collection of tax records as needed by the tax preparer. Provide clients or their accountants with tax ledgers and other pertinent tax information. Coordinate the review, signing and timely filing of trust tax returns. Set up, track and pay estimated tax payments. Ensure that communication is effective and all account information is relayed and processed in accordance with established policies and procedures. Prepare client correspondence and assist in mailing statements, checks and other client documents on an as-needed basis. Assist in preparation for client meetings. Organize electronic files and file folders including official client files in keeping with record retention policy using the firm's Document Management System (DMS). Work proactively with others to support efforts within PCTC and the Administration function. Organize and prioritize assignments and contribute to PCTC’s ability to meet or exceed goals and standards. Maintain current knowledge of trends and developments affecting administration. Use innovative thinking and exercise sound judgment to achieve results.

Qualification and Experience

Qualifications: 5+ years of progressively responsible administrative support, a Bachelor’s degree or Associate Degree is a plus. Excellent verbal and written communication skills. As well as great organizational skills and attention to detail. Working knowledge of Microsoft Office applications including Outlook, Word and Excel and familiarity with general database concepts. Strong analytical skills. Sufficient intellectual curiosity to provide motivation to learn new functions. Familiarity with trust or investment-related functions and systems is a plus.
