Local Resource Assistant Duties: Performs a variety of administrative duties for the Global Resource Team (“GRTâ€). Maintains professional contacts with clients, attorneys and staff, and observes confidentiality of client and firm matters. Effectively, efficiently, and thoroughly manages work and information requests. Provide support to the Global Resource Team and through them locally to Associates years 1-6, paralegals, and others on a case by case basis. Reports to the Office Administrator. Copy or expedite copy/scan jobs with others to ensure accurate reproduction of documents. Print or coordinate print jobs with others to ensure accuracy; send e-mails. Expedite mailing of documents/packages via regular mail, overnight delivery or courier services. Monitor workflow and redirect to appropriate resource as needed. Expedite production of binders, tabs, exhibits and tables of contents. Expedite distributions, mailings, and court, deed and other paper filings. Assemble and prepare outgoing packages. Work closely with local Practice Assistant and/or paralegal; coordinate compilation of litigation documents, including discovery, motion, and trial documents; ensure that filings are complete. Perform clerical tasks related to updating and maintaining client files in accordance with established records management policies and procedures. Organize and maintain case materials using traditional and electronic document management systems. Assist GRT with the fulfillment of specific meeting requests. Maintain decentralized file areas for assigned timekeepers as needed. Distribute, scan, and/or profile incoming mail for associates at the 1-6 year level and others as needed. Send faxes as requested and return originals to sender. Facilitate the submission of expense backups, vendor invoices, and time entry, and send to appropriate resources as needed.
Qualification and Experience
Requirements: Associate’s degree required; Bachelor’s degree preferred. 3-5 years of pertinent experience in a law firm or equivalent, preferred. Able to organize workload, prioritize numerous tasks and complete them under time constraints. Able to complete work utilizing all means of remote communication. Proficient in Microsoft Office Suite with good keyboarding/typing skills. Skillful at navigating MySite and able to utilize other global resources such as Central IPC and Help Desk as necessary to manage workload and workflow. Excellent interpersonal, communication, customer service and organizational skills. Thorough knowledge of office technology including use of a computer, multi-line telephone, printer, copy machine, fax machine, calculator and scanner. Positive and professional demeanor; able to interact effectively with personnel at all levels, including attorneys, staff, and clients. Uses initiative to analyze and solve problems in standardized situations. Able to communicate in English in an effective manner with clients and other employees of the firm; possesses the language skills to read and interpret documents and instructions of varying complexity; write simple correspondence using correct spelling, grammar and punctuation. Able to add, subtract, multiply and divide using whole numbers, common fractions, and decimals so as to perform basic calculations (i.e., compute billing rates and totals).
