Records Assistant / Office Clerk The candidate will be responsible for the administration and maintenance of records procedures as well as handling a variety of office and administrative duties, including reception duties, messenger runs, food pickups for client and office meetings and other pickups/deliveries as requested. Reporting to the Office Coordinator, primary responsibilities include: providing assistance to attorneys and staff members on special projects as requested; assisting with general office services, facilities and firm events; and serving as backup to Office Services Assistant. Participate in the planning and implementation of new services and procedures regarding client document filing protocols for both electronic and hard copy files in cooperation with the Conflicts Screening and Records Center Manager as well as firm established protocols and procedures. Assist in refining procedural aspects of filing protocols for specific clients and matters and assist in conducting the on-site activities as well as off-site warehouse and vault storage where necessary. Participate in client records management processes, including: processing incoming/outgoing deliveries for off-site storage; establishing, updating and maintaining iManage files and subfiles; accurate tracking of files using the Elite Records Management system; proper indexing of all materials submitted to the Records Center for processing; retrieving requested files, bibles and boxes, etc. by firm personnel; proper warehousing of materials, i.e. boxed, caged, crated and odd-sized items; sorting and organizing client documents from email boxes and archives into client iManage files;maintaining client correspondence files; creating and maintaining client Elite hard copy files; and performing other related administrative duties as assigned by overseeing paralegal, office coordinator and/or attorneys. Coordinate the operation and maintenance of Records Center computerized systems, including the receipt, storage, retrieval and disposition of records as well as the electronic documents in the DMS. Coordinate the client file (paper and electronic) destruction process in accordance with the firm's file retention policy. Distribute daily courier pack and pick up and deliver interoffice mail and faxes several times per day. Distribute incoming USPS mail once a day and deliver outgoing USPS mail to Post Office and FedEx packages to drop box at end of day. Restock items in kitchen in the morning and again at the end of the day. Load, run and unload the kitchen dishwasher each morning. Handle messenger runs including courthouse and agencies, food pickups for client and office meetings and other in town and out-of-town deliveries and pickups as requested. This requires use of personal vehicle which is reimbursed through the firm. Work with the Office Coordinator to handle assigned tasks related to various business development functions hosted by the office including the Annual Holiday Party for clients and Business Contacts including managing the master guest list in Excel, ordering, preparing and mailing of invitations, arrangements with Club, preparation of name tags and assisting at the event. Be available to travel to the office during 'off-hours' to attend to server room emergencies, know the protocol and implement when necessary. Perform other duties as assigned by Office Coordinator. Experience as a Records Assistant in a large law firm environment and a college degree is preferred. Superior interpersonal communication and organizational skills are required, as well as a high attention to detail. Excellent proofreading skills are needed. Ability to function independently and adapt to changing priorities is necessary. Position requires accurate typing (35 wpm). Familiarity with standard office equipment as well as computer experience within a network environment (MS Office 2010, Elite, iManage) is preferred. Experience working with computer databases a plus.
