Legal Recruiting Coordinator Duties: Coordinates activities related to the recruiting and orientation of summer associate, entry-level and lateral non-partner attorneys both firm-wide and, specifically, for the office. Coordinates entry level screening interview process, including but not limited to registration, scheduling, preparing interview materials, researching candidate histories and submitting feedback forms to interviewing sites. Coordinates callback interview process, including but not limited to scheduling, greeting, and communicating with candidates.Works directly with the on-campus interviewing lawyers to assist with the OCI process. Coordinates school hiring events including 1L events, callback events, hiring receptions, and offeree dinners. Oversees preparation of correspondence in response to employment inquiries and coordinates communication with all applicants on behalf of the firm, including offer letters. Organizes outreach to prospective candidates including on-campus events designed to market the firm; partner with career services personnel and faculty to raise firm’s profile; interact with network of former R&G summer associates. Acts as liaison with legal placement agencies, law school career services offices, prospective candidates, and Ropes & Gray lawyers and staff to ensure a smooth hiring program. Organizes summer program for the Boston office, as well as works on projects that are firm-wide. Supports the lateral associate recruitment process and orientation process; participates in creation and editing of job descriptions; maintains online candidate applications and CA job postings on R&G website. Shepherds candidates through interview process from screening interview to callback to second look to offer to onboarding. Prepares interview schedules and scheduling; prepares offer letters and orientation schedules; trouble-shoots as necessary. Orders, reviews, investigates and clears background checks for all career attorney offerees; submits conflicts checks. Works with Legal Personnel immigration team to ensure work sponsorships are properly identified and obtained. Provides updates to the hiring web site and recruiting print materials. Collaborates with web editors to enhance the hiring web site for recruiting purposes. Inputs and updates information into the legal recruiting database (LawCruit) for recruiting and tracking purposes. Stays current of evolving developments in field; conducts market research with peer firm representatives as requested. Archives recruiting files of summer associates, lateral hires and technical advisor into firmwide personnel files. Performs additional duties as assigned by the Senior Director of Legal Personnel, Recruiting and Global Mobility or other members of the department. Support other members of HR and administrative staff on assigned projects.

Qualification and Experience

Qualifications: Bachelor’s Degree with 2+ years of law firm or law school recruiting experience required Proficiency in the use of computer programs including Microsoft Office (Outlook, Word, Excel) and database programs (e.g., LawCruit, Taleo) Excellent written and oral communication, organizational, and interpersonal skills. Ability to recognize confidential information and to maintain confidentiality of such information. Flexibility in responding quickly and positively to shifting demands and opportunities. Ability to interact effectively with all levels of firm personnel and with a wide spectrum of candidates. Must be team-oriented and able to share information, goals, opportunities, successes and failures with the appropriate parties. Consults with partners leading searches to determine best approach to fulfilling staffing needs, re-evaluate as necessary. Must be innovative and proactive in marketing firm to various candidate constituencies. Must be detail-oriented and have the ability to follow up and follow through. Ability to multi-task, manage, and prioritize projects effectively. Ability to work independently, under the direction of others, and as a part of a team. Ability to work in a multi-office environment. Ability to work effectively in a culturally and educationally diverse environment. Proactive in learning and adapting to new systems and processes. Ability to perform under stressful conditions in a thoughtful and professional manner. Continually looks to streamline recruitment processes for greatest efficiency.
