Litigation Legal Secretary - Intellectual Property The candidate supports 3-4 attorneys in the IP Litigation Practice. Coordinates USPTO, U.S. District and State Court filings in major complex litigation matters, including filing of pleadings via electronic filing procedures as mandated and approved by the court. Frequently responsible for under seal filings under IL federal and state court procedures. Drafts and types various kinds of documents, including correspondence, pleadings, discovery, memoranda; proofreads documents for errors and corrects errors; serves discovery and other documents in compliance with applicable federal and state court procedures. Maintains and updates client files following local electronic office filing system procedures (Digital File), including a complete set of correspondence, discovery, and pleadings. Schedules/calendars appointments such as depositions, production of documents, client meetings, court hearings and appearances. nputs the attorney's timesheets into timekeeping application; reviews for accuracy and corrects any errors. Reviews draft client billing statements for accuracy, e.g., compliance with client billing guidelines; edits content/grammar. Sends copies of all appropriate dates to firm Central Docketing Department and works with them to ensure that all dates recorded are accurate. Enters dates into IP Group Calendar and distributes to team. Performs administrative functions such as prepares check requests for vendor statements and other administrative tasks. Organize and schedule small and large meetings in person and/or via conference calls which may include arranging for conference rooms and meals. Maintains Outlook Calendars and Names/Address Lists. Makes travel arrangements. Works with attorneys to monitor incoming fax and email regarding clients matters and prints incoming and outgoing faxes and emails for files following firm procedures. Manages attorneys' client contacts including those maintained in the firm marketing contact database. Follows firm procedures to open new business following established New Business Intake procedures; partners with Client Value Team to ensure adherence to budgets. Participates in office secretarial back-up system for absence coverage. An Associate’s degree preferred. Should have 3 years of legal secretarial experience in Intellectual Property litigation matters. Must have strong organizational skills combined with the ability to work independently. Knowledge of USPTO practices and procedures, docket reports, TEAS/TSDR system as well as electronic filing experience through PAIR with USPTO are needed. Advanced proficiency in Microsoft Word and formatting documents, with a minimum typing speed of 65 words per minute required.
