Legal Secretary The candidate will provide a full range of support to managers within the legal department. The main focus will be to enhance the managers' effectiveness by providing administrative and organizational support to them and at times to other staff within the legal department. Duties include clerical and administrative assistance with general correspondence, phone calls, meetings, events and conference, travel arrangements, expense reporting, research and assistance with special projects. Welcome guests and member studio clients by greeting them in person or on the telephone, answering and/or directing inquiries. Produce information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data, and graphics and coordinating case preparation or other legal documents. Conserve manager time by reading, researching, reviewing, verifying and routing correspondence, reports and legal documents. Draft letters and documents; collecting and analyzing information; initiating telecommunications, organizing meetings, scheduling others; and coordinating preparation of charts, graphs, expenses reports and travel itineraries. Maintain managers' calendars by planning and scheduling conferences, teleconferences, travel and meetings with external and internal partners. Represent legal department by communicating and obtaining information, following-up on delegated assignments; knowing when to act and when to refer matters to managers. Provide historical reference by developing and utilizing filing and retrieval systems, recording meeting discussions if necessary and other documentation as needed. Assist with compiling and disseminating reports, presentations and documents to member company executives and internal executives, managers and staff using PowerPoint, Excel and Word. Maintain office supplies - placing and expediting orders. May also provide administrative and organization support to others within the Legal team as needed or upon request. Enhance department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments. Maintain confidence and protects operations by keeping information confidential. Other administrative duties and projects as assigned. Bachelor's degree is strongly preferred. Technical competence relating to accounting principles a plus. Must have 5+ years of experience as an executive assistant, legal secretary to a senior-level executive in a global organization. Should be proficient in MS Word, Excel and PowerPoint.
